Job Description
The Workforce Planning Officer supports the organization in terms of maintaining organization structure, job descriptions and workforce needs efficiently in alignment with business goals.
Reporting to the Organizational Design and Development Manager, this role is responsible for assisting with the analysis of staffing levels, workforce forecasting, updating JDs, maintaining the positions within organizations’ structure and providing operational support for all ODD related matters.
Operational
- Regularly update and maintain the company’s organizational structure, ensuring accurate reporting lines, department structures, and positions within the Oracle ERP system.
- Ensure that all changes to the organizational structure are accurately reflected in workforce planning tools and systems.
- Assist in creating, updating, and standardizing job descriptions to reflect current roles and responsibilities.
- Ensure all job descriptions are regularly reviewed and aligned with the organization’s evolving needs and structure.
- Collect and analyze data to assist in workforce forecasting, including predicting future staffing needs based on business growth and turnover rates.
- Support the creation of workforce models to ensure that staffing levels align with short-term operational needs and long-term strategic goals.
- Track and maintain records of current staffing levels across the organization, ensuring accurate headcount data and identifying staffing gaps or surpluses.
- Assist in the implementation of manpower planning activities, ensuring the organization has the right mix of talent to meet business objectives.
- Ensure all workforce-related data, including employee records, job descriptions, and organizational charts, are accurately entered and regularly updated in the HR management system.
- Maintain detailed records on positions reports based on organizational change.
- Compile and prepare regular workforce reports for senior management, including headcount analysis, turnover rates, and workforce planning projections.
- Present key metrics and insights to support decision-making related to workforce adjustments and recruitment planning.
- Collaborate with department leaders to monitor workforce allocations, ensuring they are consistent with business goals and operational demands.
- Perform any additional duties as directed by the Organizational Design & Development Manager.
Desired Educational Background
Bachelor’s degree in business administration or in HR, Psychology or any other related field from a recognized university OR equivalent qualification.
Desired Experience
Minimum experience of 3-5 years in a relevant field – workforce planning or organizational development role within familiar industry
Job Specific Skills
- Proficiency in JD formulation, creating clear and structured job descriptions that align with workforce planning and organizational goals.
- Expertise in Microsoft Office, particularly Word for drafting documents, Excel for workforce data analysis, and PowerPoint for presentations.
- Knowledge of ERP systems, such as SAP or Oracle ERP, to manage workforce data, streamline HR processes, and support resource allocation.
- Familiarity with other related systems and tools, including HR management systems and workforce planning tools, to optimize employee management and operational efficiency.
