**Role Overview:** We are looking for a reliable and organized Office Secretary to support daily office activities.
The role focuses on coordination, communication, organization, and report submission to ensure smooth operations across teams.
Administrative Support
- Provide general office and administrative support.
- Handle calls, emails, and greet office guests.
- Maintain and organize office documents, records, and files (physical and digital).
- Monitor and handle petty cash.
- Assistance in project budgeting as required
Retail & Sales Support
- Act as point of contact for retail staff.
- Consolidate staff attendance and submit consolidated attendance form.
- Coordinate stocks and order-related requests, leave requests, and ensure clear communication between departments.
- Assist in coordination and activation of retail promotions and discounts.
- Monitor inventory and coordinate stock movement and replenishment.
- Coordinate with clients/customers/retail heads on operational matters.
Logistics & External Coordination
- Coordination tasks with fragrance houses and packers for purchasing, warehousing and the delivery of goods.
- Track shipments and follow up on status.
- Assist in coordination with customs and clearing agents and assist in providing required documents.
Compliance & General Support
- Assist in coordination with PRO for permits, renewals, and legal requirements.
- Assist in handling client inquiries and coordination.
- General assistance in event planning, new project coordination, social media
- coordination and organizing photoshoots.
- Assisting personally any related tasks delegated by the owner of the company and the managing director.
Qualifications & Requirements
- At least 2 years of experience in administrative or similar role
- Good command of English (written and spoken)
- Well-versed in MS Office Applications
- A cheerful, outgoing and proactive personality with a polite attitude
- Organized, team player, and detail-oriented
- Good communication and coordination skills
- Ability to multitask and efficiently meet deadlines
- Fast learner and proactive attitude
Job Types: Full-time, Permanent
Pay: AED3,000.00 per month
