The Inventory Staff is responsible for maintaining accurate inventory records, monitoring stock levels, conducting inventory counts, forecasting stock requirements, and coordinating the ordering and replenishment of inventory to ensure the availability of materials and products while minimizing stock shortages and excess inventory.
Key Responsibilities1. Inventory Monitoring and Control
- Maintain accurate inventory records in the inventory management system.
- Monitor stock levels and ensure inventory accuracy at all times.
- Track stock movements including receipts, transfers, returns, and issuances.
- Investigate and report inventory discrepancies, shortages, and variances.
2. Forecasting and Inventory Planning
- Analyze historical sales, consumption trends, and stock movement data.
- Forecast inventory requirements based on sales trends, seasonal demand, and project requirements.
- Recommend minimum, maximum, and reorder stock levels.
- Prepare inventory forecasts and stock planning reports for management review.
3. Ordering and Replenishment
- Prepare purchase requisitions and stock replenishment requests.
- Coordinate with the Purchasing Department for timely procurement of inventory items.
- Monitor pending purchase orders and follow up on delivery schedules.
- Ensure adequate stock availability to prevent operational disruptions.
4. Inventory Counting and Audits
- Conduct daily, weekly, monthly, and annual physical inventory counts.
- Perform cycle counts and stock verification activities.
- Reconcile physical inventory with system records.
- Prepare inventory count reports and variance analysis.
5. Reporting and Documentation
- Generate inventory reports, stock aging reports, and stock movement reports.
- Maintain proper filing and documentation of inventory transactions.
- Prepare management reports regarding stock status, shortages, excess stock, and slow-moving items.
6. Coordination and Compliance
- Coordinate with warehouse personnel, storekeepers, and department heads regarding inventory requirements.
- Ensure compliance with company inventory control policies and procedures.
- Support internal and external inventory audits.
- Assist in implementing inventory control improvements and best practices.
