Responsibilities

  • New Joiner Document Validation and Onboarding Support
  • Download and collect new joiner documents from approved recruitment and employee systems.
  • Review documents for completeness, clarity, validity and compliance with the required format.
  • Validate Employee Information including confidential data with privacy.
  • Crop, resize, rename and save documents according to EKFC filing and naming standards.
  • Maintain employee wise electronic folders and ensure documents are filed in the correct location.
  • Identify missing, expired, unclear or incorrect documents and coordinate with the relevant team for correction.
  • Notify the Background Clearance team once the required employee documents are complete.
  • Update the relevant Background Clearance and onboarding status in People Connect.
  • Download Entry Permit and Change of Status documents from the GDRFA system.
  • Save and upload Entry Permit and Change of Status documents to People Connect and the approved employee folders.

Airport Pass and Aman System Support

  • Update employee Residence Visa and Emirates ID details in the Aman system.
  • Verify employee information before completing system updates.
  • Scan, rename, classify and file Airport Pass documents.
  • Upload Airport Pass documents to People Connect and other approved systems.
  • Prepare documents required for new Airport Pass applications, renewals and cancellations.
  • Support the processing employee profiles requiring urgent document update in Aman System
  • Maintain an accurate tracker of applications, renewals, pending documents and completed cases.
  • Escalate missing documents, incorrect information or urgent cases to the assigned supervisor.

Residence Visa / Emirates ID & OHC Document Updates

  • Download completed Residence Visa and Emirates ID documents from the relevant authority systems.
  • Verify employee and document details before saving or uploading.
  • Rename and file documents in accordance with the approved naming convention.
  • Upload Residence Visa and Emirates ID documents individually to People Connect.
  • Update the document status and expiry information in the relevant tracker or system.
  • Support documentation relating to the high volume of renewal transactions completed by GRD.
  • Clear pending document download and upload backlogs within agreed timelines.
  • Maintain an updated OHC renewal and document upload tracker.
  • Follow up on missing certificates, expired cards and incomplete employee records.
  • Escalate urgent or non compliant cases to the assigned supervisor.

Document Governance and Record Management

  • Follow EKFC document naming, filing and record retention standards.
  • Maintain complete employee documentation in the approved folder structure.
  • Protect employee personal information and maintain strict confidentiality.
  • Ensure that passports, Emirates IDs, visas, contracts and other sensitive documents are accessed only for authorised work purposes.
  • Do not share, copy, download or transfer employee information outside approved EKFC systems.
  • Support document audits, record reviews and data cleaning exercises when required.

Operational and Team Support

  • Prioritise urgent cases based on guidance from the assigned supervisor.
  • Provide daily updates on completed, pending and outstanding tasks.
  • Support team members during periods of annual leave, high transaction volumes or operational emergencies.
  • Coordinate with the Talent Acquisition, Background Clearance, PRO Operations, Emiratization, Airport Pass and HR teams.
  • Attend departmental briefings, training sessions and process update meetings.
  • Perform other administrative and Government Relations support duties assigned by the management.

Minimum Qualifications

  • Diploma, Higher Diploma or bachelor’s degree in human resources, Business Administration, Computer Science, Information Management or a related discipline.
  • Fresh graduates or candidates seeking practical HR and Government Relations experience may be considered.
  • Basic knowledge of administrative processes and document management.
  • Good written and verbal communication skills in English.
  • Knowledge of Arabic will be an advantage.

Technical Skills

  • Knowledge in GDRFA / ICP System (Basic)
  • Arabic Knowledge (Reading / Typing) Recommended
  • Good working knowledge of Microsoft Excel, Word and Outlook.
  • Ability to scan, crop, rename, convert and organise electronic documents.
  • Ability to work with employee systems, online portals and digital trackers.
  • Basic understanding of data entry and record validation.
  • Ability to learn People Connect, Aman, Smartsheet and authority systems.
  • Good keyboard and computer literacy skills.
