Job Purpose

  • The Group Assistant Manager – Event Logistics supports the planning, coordination, and execution of event logistics projects to ensure efficient and seamless delivery of services.
  • The role assists in managing operational activities, coordinating with customers, vendors, and internal stakeholders, and supporting the successful implementation of logistics solutions for events, exhibitions, sporting events, and live productions.
  • The role contributes to operational excellence through effective planning, process improvement, reporting, and compliance activities while ensuring high levels of customer service and adherence to DP World policies and standards.

Operational Support

  • Support the planning and execution of event logistics projects, including transportation, warehousing, customs coordination, and on-site logistics activities.
  • Assist in coordinating logistics requirements to ensure timely and efficient delivery of services.
  • Monitor operational activities and support the resolution of day-to-day logistics issues to minimise disruptions.
  • Coordinate with internal teams and external service providers to ensure operational requirements are met.

Customer & Stakeholder Coordination

  • Support customer engagement activities by maintaining regular communication regarding project status, timelines, and operational requirements.
  • Assist in responding to customer enquiries and resolving operational issues in a timely and professional manner.
  • Coordinate with event organisers, vendors, freight partners, and operational stakeholders to ensure smooth project execution.
  • Support the preparation of customer presentations, operational updates, and project reports.

Commercial Support

  • Assist in the preparation of quotations, proposals, and tender documentation for event logistics opportunities.
  • Support the collection and analysis of operational and commercial information required for customer submissions.
  • Maintain records of opportunities, quotations, and project documentation.
  • Contribute operational expertise during customer discussions and project planning activities.

Vendor & Resource Coordination

  • Support the coordination of subcontractors, freight providers, customs brokers, and other logistics partners.
  • Assist in monitoring supplier performance and adherence to agreed service levels.
  • Coordinate the allocation of operational resources, equipment, and logistics requirements to support project delivery.
  • Maintain accurate records of vendor agreements and supporting documentation.

Process Improvement & Compliance

  • Identify operational inefficiencies and support continuous improvement initiatives.
  • Assist in implementing best practices to improve service quality, operational efficiency, and customer satisfaction.
  • Ensure logistics activities are conducted in compliance with applicable regulations, company policies, and customer requirements.
  • Promote adherence to safety standards and operational procedures across all activities.

Reporting & Documentation

  • Prepare regular reports on operational performance, project status, and key logistics metrics.
  • Maintain accurate records relating to shipments, inventory, customs documentation, project activities, and customer requirements.
  • Support post-event reviews and lessons-learned exercises to identify opportunities for improvement.
  • Assist in preparing management reports and presentations as required.

Project Support

  • Support logistics-related projects, process improvement initiatives, and operational enhancement activities.
  • Coordinate project tasks and monitor progress against agreed timelines.
  • Assist in the implementation of new systems, tools, and operational processes.
  • Contribute to successful project completion through effective planning and coordination.

Safety & Sustainability

  • Ensure all activities are performed in accordance with DP World's health, safety, and environmental standards.
  • Support initiatives aimed at improving sustainability and reducing the environmental impact of logistics operations.
  • Promote a culture of safety and operational excellence throughout all event logistics activities.
  • Act as an ambassador for DP World at all times, promoting and demonstrating behaviours aligned with DP World's Founder's Principles, values, and culture; ensuring the highest standards of safety, integrity, and compliance are maintained in all activities.
  • Perform other related duties as assigned.

Qualifications, Experience and Skills

  • 5–7 years of experience in Logistics, Supply Chain, or Event Logistics with a strong track record in both sales and operations.
  • Educated to degree level (preferably Bachelors or Graduate Degree in Business Management, Logistics Management, Supply Chain, or a related field).
  • Demonstrable experience in managing logistics operations for large-scale events, exhibitions, or live productions with a proven record of successful delivery.
  • Proven commercial track record in business development, client acquisition, and revenue growth within a logistics or supply chain environment.
  • Experience managing relationships with carriers, freight forwarders, customs brokers, and on-ground logistics providers.
  • Strong understanding of customs regulations, import/export documentation, and international trade compliance as applicable to events.
  • Experience in preparing commercial proposals, pricing models, and responses to formal RFPs and tenders.
  • Ability to manage multiple concurrent projects in a fast-paced, time-critical event environment while maintaining service quality.
  • Excellent interpersonal and negotiation skills with the ability to influence and build relationships at all levels.
  • Experience in budget planning, cost management, and financial reporting at a project or vertical level.
  • Proactive mindset with strong problem-solving capabilities and the ability to make sound decisions under pressure.
  • Proficient in logistics management systems, CRM platforms, and MS Office Suite.
  • Impeccable ethics, high level of integrity, and a commitment to compliance and safety standards.
  • Current knowledge of industry practices, trends, and developments within the events and logistics sectors
