Job Summary

Scheduling and Dispatch Coordination

• Create and update daily delivery schedules in the dispatch software.
• Ensure vehicle and driver assignments are accurately recorded and communicated.
• Monitor live dispatch activities and follow up on delivery progress.
• Coordinate schedule changes and emergency adjustments with drivers and operations staff.

Operational Software Management

• Enter delivery orders, trip details, loading data, and route plans into the system.
• Ensure the system reflects real-time stock availability and truck load status.
• Troubleshoot basic system issues and report problems to IT or support vendors.
• Update customer details, truck data, and operational records.

Communication and Follow-Up

• Act as the contact point between Dispatch, Drivers, Operations, and Sales teams.
• Follow up with drivers regarding delivery timings, routes, and customer instructions.
• Communicate delays, changes, and issues to internal teams promptly.
• Coordinate with the terminal or warehouse regarding loading readiness and material availability.

Reporting and Documentation

• Generate daily, weekly, and monthly dispatch and delivery reports.
• Maintain digital and hard-copy files of delivery notes, schedules, and logs.
• Track vehicle utilization, driver performance, and delivery turnaround time.
• Highlight operational delays or recurring issues for performance improvement.

Compliance and Standards

• Ensure dispatch activities follow company policies and safety guidelines.
• Maintain confidentiality of operational data, customer information, and system access.

Qualifications

• Diploma or bachelor's degree in Business Administration, IT, Logistics, Supply Chain, or a related field.
• One to three years of experience in dispatch, logistics coordination, terminal or transport operations, or data entry roles is preferred.
