Prime Circle Group
is looking for a
Finance & Admin Operations Specialist
to own the daily tracking of our financial flows, structure our back-office, and grow our operational infrastructure.
You'll work in a 100% remote, multi-currency environment, with modern tools (Notion, Pipedrive, Zoho, Stripe) and real autonomy over your scope.
This is a high-impact role: everything you put in place will be used daily by the entire team and will define the quality of our financial pilot as we scale.
Your Missions
- 1.Client payments and subscriptions tracking
- Own daily tracking of multi-channel payments: Stripe, bank wires, Crypto
- Identify each day which payments were received, are pending, or are overdue, and share a clear daily report with the teams
- Verify that funds are properly received on the right accounts and wallets
- Manage monthly renewals and subscription cut-offs for clients in arrears
- 2.Invoicing and refunds
- Issue client invoices in Zoho Books and ensure accuracy (amount, currency, client, product)
- Track the full lifecycle of invoices (draft, sent, paid) and follow up when needed
- Process refund requests approved by management and ensure full traceability
- Liaise with the external accounting firm for document transmission and reconciliation
- 3.Expense and commission tracking
- Record and categorize monthly expenses (salaries, contractors, tools, banking fees)
- Prepare the elements required for monthly closing
- Verify sales team commissions and partner referral payments
- Flag any anomaly, omission, or inconsistency in real time
- 4.Process structuring and optimization
- Identify friction points and propose concrete improvements
- Contribute to the automation of repetitive tasks in collaboration with the tech team (n8n, APIs)
- Build and maintain a clean, usable client database in Notion
- Document procedures and create reusable SOPs for the team
- 5.Administrative coordination
- Track client contracts and answer first-level administrative questions
- Coordinate with front and back teams on day-to-day administrative matters
- Track, renew, and optimize SaaS subscriptions across the group

- Who you are Must-have
- 1 to 4 years of experience in finance, accounting, controlling, back-office, or operations
- Strong comfort with numbers: you can read a statement, spot an inconsistency, and reconcile without hesitation
- Absolute rigor and reliability: what's promised is delivered, what's delivered is right
- Curiosity for digital tools and a fast learning curve
- Real autonomy: you identify what needs to be done, you do it, you escalate what blocks
- Fluent in French and English, written and spoken
- Nice to have
- Experience with Stripe, Zoho Books, Pipedrive, or Notion
- Exposure to multi-currency or international environments
- Familiarity with automation logic (n8n, Zapier, APIs)
- Experience in a startup, scale-up, or digital environment
