Company Description
- We are a Dubai-based group of creative and lifestyle brands led by a founder working across luxury product development, wellness, content creation, and experiential brand building.
- The businesses include:
- **The Candle Company** - a luxury candle and home fragrance manufacturer specialising in bespoke products, private label manufacturing, corporate gifting, and brand collaborations.
- **Inner Alchemist** - an emerging luxury wellness and lifestyle brand focused on intentional living, self-care rituals, home décor, and elevated everyday experiences.
- **Content Creation & Personal Brand** - lifestyle, travel, beauty, wellness, and behind-the-scenes creative content shared across social media platforms.
- This is a small, fast-moving, highly creative environment where no two days are the same.

Role Description
We are looking for a highly organised, proactive, hands-on, and trustworthy Executive & Personal Assistant to support the founder across both business and personal operations.
This is a hybrid EA/PA role within a fast-paced luxury candle and lifestyle business environment. The role will involve a strong focus on day-to-day operational support, including preparing quotations, managing customer communications, liaising with clients and suppliers, coordinating orders, preparing samples, assisting with candle manufacturing and packaging, inventory management, logistics coordination, and supporting the smooth day-to-day running of the businesses.
The successful candidate will work closely with the founder across multiple brands, assisting with both operational and administrative responsibilities while helping maintain a highly organised and efficient working environment.
The role is primarily based within the founder’s home environment, which also operates as part of the businesses’ creative and operational workspace.
As such, we are looking for someone who is respectful, organised, adaptable, and comfortable working within a close-knit and trusted environment.
Alongside business support, the role also includes personal assistant responsibilities such as helping coordinate schedules, household organisation & support, errands, and occasional support with the founder’s dogs, who are an important part of daily life and the wider working environment.
Qualifications
- Previous experience in an Executive Assistant, Personal Assistant
- Strong written and verbal communication skills in English
- Proficient in Google Workspace (Gmail, Google Docs, Google Sheets, Google Calendar) and/or Microsoft Office
- UAE driving license is a strong advantage
- Experience around dogs or pet care is highly preferred
- Experience with office software systems and tools such as Quickbooks is preferred

Executive Support Responsibilities
- Managing calendars, scheduling appointments, meetings, and reminders
- Assisting with inbox and communication management across multiple businesses
- Liaising with suppliers, manufacturers, clients, agencies, and partners
- Sourcing and researching new suppliers, products, services, and business solutions
- Supporting project coordination across multiple businesses and brand ventures
- Assisting with operational organisation and day-to-day administrative tasks
- Preparing documents, quotations, presentations, spreadsheets, reports, and business materials when required
- Following up on tasks, timelines, and deliverables to ensure smooth execution across projects
- Supporting launches, events, workshops, activations, photoshoots, and content days
- Assisting with social media coordination, content planning, behind-the-scenes support, and content organisation
- Preparing samples, manufacturing orders, packaging orders, and customer shipments
- Assisting with candle production, labelling, packing, quality checking, stock preparation, and workshop setup where required
- Managing inventory, stock levels, supplies, and reordering processes
- Organising, maintaining, and managing storage areas, inventory systems, and operational spaces
- Coordinating deliveries, couriers, collections, and logistics
- Assisting with purchasing, errands, and operational sourcing tasks
- Supporting customer service and client communications when required
- Assisting with business organisation, process improvement, and operational efficiency
- Handling confidential information with discretion and professionalism
- Supporting the wider needs of the businesses as they evolve and grow
- Carrying out ad-hoc tasks, operational support, and additional responsibilities as reasonably required by the company and founder
Personal Support Responsibilities
- Assisting with personal calendar management, appointments, and scheduling
- Coordinating personal travel arrangements, bookings, reservations, and itineraries
- Assisting with pet care responsibilities where required, including helping coordinate feeding, walking, supervision, appointments, transport, and occasional dog sitting support while the founder is travelling or unavailable
- Assisting with personal errands, purchases, and lifestyle administration
- Supporting household organisation and coordination where required
- Assisting with household upkeep and day-to-day household support tasks where required, including organisation, tidying, unpacking deliveries, laundry coordination, steaming clothes, packing and unpacking suitcases, dishwashing, and general household assistance
- Assisting with pet-related scheduling, logistics, and coordination where required
- Managing personal reminders, bookings, and administrative tasks
- Supporting the founder with day-to-day organisation and workload management
- Handling personal matters and confidential information with professionalism and discretion
- Providing flexible, trusted, discreet and dependable personal assistance support when required
- Carrying out ad-hoc personal tasks and responsibilities as reasonably requested by the founder
