About This Role

Responsibilities

  • Manage the CEO’s calendar, scheduling meetings, appointments, travel, and personal engagements
  • Handle confidential business and personal correspondence, calls, and communications on behalf of the CEO
  • Coordinate and manage personal errands, schedules, and appointments (medical, family, events, etc.)
  • Oversee household matters including maintenance, deliveries, and communication with household staff
  • Handle personal travel bookings, restaurant reservations, and leisure arrangements
  • Maintain and update important personal and family documents (passports, Emirates IDs, visas, insurance, memberships, etc.), including renewal reminders
  • Manage personal budgeting, expense tracking, and reconciliation of credit card and petty cash statements
  • Prepare payments, reimbursements, and invoices for both personal and business matters
  • Maintain organized digital and physical filing systems for personal and office-related documents
  • Coordinate with Admin, PROs, legal, and government entities for documentation and renewals
  • Handle administrative tasks such as meeting preparations, presentation support, and follow-up on action points
  • Review and manage the CEO’s to-do lists and reminders, following up directly with teams or external parties as needed
  • Act as a liaison between the CEO and internal departments to ensure timely communication and task completion
  • Monitor and replenish essential office and household supplies
  • Manage communication with service providers such as insurance brokers, real estate agents, and consultants
  • Handle sensitive information with absolute discretion and confidentiality
  • Organize and coordinate internal and external events as required
  • Support in special projects, reporting, and research for the CEO
  • Manage last-minute changes, urgent tasks, and unplanned priorities calmly and efficiently
  • Anticipate needs and proactively provide solutions or support before being asked

Skills & Qualifications

  • Proven experience as an Executive Assistant or Personal Assistant to senior management
  • Strong organizational, multitasking, and time management skills
  • Excellent communication and interpersonal abilities
  • High level of discretion, integrity, and confidentiality
  • Proficiency in Microsoft Office Suite and digital organization tools
  • Strong attention to detail and follow-through
