Overview

We are seeking a highly organized and proactive Personal Assistant/Secretary to support CEO.

The ideal candidate will be a detail-oriented multitasker with excellent communication skills, capable of managing various administrative tasks and helping to streamline operations.

Key Responsibilities

  • Manage and maintain the executive’s calendar, including scheduling appointments and meetings.
  • Organize and prepare for meetings, including gathering documents and taking minutes.
  • Handle incoming calls, emails, and correspondence efficiently and professionally.
  • Assist in travel arrangements, including booking flights, accommodations, and itineraries.
  • Maintain filing systems, both electronic and paper, ensuring easy retrieval of documents.
  • Prepare reports, presentations, and other materials as needed.
  • Perform various administrative tasks, such as data entry, research, and project support.
  • Liaise with internal teams and external contacts on behalf of the executive.
  • Maintain office operations efficiently while assisting in greeting guests and ensuring a welcoming environment.

Qualifications

  • Excellent written and verbal knowledge of English language, knowledge of additional language is an advantage
  • Proven experience as a personal assistant or in a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong organizational and time management skills, with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and collaboratively in a fast-paced environment.
