Position Overview

As part of our continued growth, we are seeking a highly skilled and proactive Executive Assistant to provide comprehensive administrative support to one of our Senior Executives.

This role is pivotal in ensuring seamless day-to-day operations, enabling the Executive to focus on strategic priorities.

The position requires exceptional professionalism, attention to detail, and the ability to thrive in a fast-paced, high-performance and heavy-pressure environment.

Key Responsibilities

  • Act as the primary point of contact for the Executive, managing and prioritizing their schedule, commitments, and correspondence.
  • Coordinate meetings, conferences, and complex travel arrangements, including flights, accommodation, visas, and ground logistics.
  • Prepare, organize, and review materials for meetings, presentations, and conferences, ensuring the Executive is fully briefed and equipped.
  • Draft and distribute internal and external communications on behalf of the Executive.
  • Conduct research, compile data, and prepare high-quality reports, summaries, and briefing documents as required.
  • Maintain confidential files and records with the highest level of discretion and professionalism.
  • Liaise with internal and external stakeholders to support strong relationships and smooth communication.
  • Manage ad hoc administrative tasks and special projects assigned by the Executive, demonstrating adaptability and strong problem-solving skills.
  • Comply with QHSE (Quality Health Safety and Environment), Business Continuity, Information Security, Privacy, Risk, Compliance Management and Governance of Organizations policies, procedures, plans and related risk assessments.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
  • Minimum of 5 years of experience in an executive support role, preferably in a corporate or professional services environment.

Skills & Competencies

  • Proven experience as an Executive Assistant or similar role supporting executive leadership.
  • Exceptional organizational, coordination, and time-management capabilities.
  • Strong written and verbal communication skills with high attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and related productivity tools.
  • Ability to manage sensitive information with absolute confidentiality.
  • Demonstrated ability to work independently while collaborating effectively with cross-functional teams.
  • Professional presence, strong interpersonal skills, diplomacy, and sound judgment.
