Executive Assistant to Chairman
We are seeking a highly experienced, proactive, and exceptionally organized Executive Assistant to provide comprehensive administrative and strategic support to our Chairman.
This pivotal role requires an individual with impeccable discretion, strong communication skills, and the ability to manage complex schedules and diverse responsibilities in a fast-paced environment.
The ideal candidate will act as a gatekeeper, facilitator, and trusted confidante, ensuring the Chairman's time is optimized and all operational aspects run smoothly.
Key Responsibilities
- Manage and maintain the Chairman's complex calendar, including scheduling meetings, appointments, and conferences, and proactively resolving scheduling conflicts.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodation, ground transportation, and detailed itineraries.
- Prepare and compile confidential documents, reports, presentations, and correspondence, ensuring accuracy and professionalism.
- Act as the primary point of contact for internal and external stakeholders, screening calls, emails, and visitors, and redirecting inquiries as appropriate.
- Organize and facilitate meetings, including preparing agendas, distributing pre-reading materials, taking detailed minutes, and tracking action items to completion.
- Conduct research, compile data, and prepare summaries or reports on various topics as requested by the Chairman.
- Assist with personal administrative tasks and special projects as needed, maintaining the highest level of confidentiality and discretion.
- Manage expense reports, invoices, and other financial documentation for the Chairman, ensuring timely submission and accuracy.
- Anticipate needs and proactively prepare for upcoming events, meetings, and commitments.
- Oversee office supplies and equipment for the Chairman's office, ensuring a well-organized and efficient workspace.
- Plan and coordinate corporate events, dinners, and other engagements involving the Chairman.
