Job Summary

Fully responsible for the physical environment management and logistical support of the company's office premises.

Core responsibilities cover the entire spectrum from office site selection, leasing, contract negotiation, renovation and fit-out, to daily property management coordination and comprehensive administrative supplier management.

The goal is to provide the company with a safe, efficient, comfortable, and cost-effective office space through professional real estate operations and supplier governance.

Office Leasing & Contract Management

  • Site Selection & Evaluation: Conduct market research, on-site inspections, and comprehensive assessments for new office locations based on business expansion needs (including transportation, amenities, clarity of property rights, fire safety qualifications, etc.).
  • Lease Negotiation & Execution: Lead commercial negotiations with landlords or agencies (covering terms such as rent, rent-free periods, escalation rates, parking allocation, etc.), rigorously review legal risks and commercial terms of lease agreements, and follow up on contract filing and seal approval processes.
  • Lease Lifecycle Management: Manage renewal negotiations, lease termination settlements, and deposit recovery for existing offices; handle various disputes and correspondence with landlords during the lease term.

Office Renovation & Project Management

  • Project Coordination: Oversee end-to-end management of new office fit-outs or refurbishment projects, including design requirement alignment, renovation budget preparation, contractor tendering, and price comparison.
  • Construction Oversight: On-site supervision of construction progress, material quality, and workplace safety; coordinate cross-functional works including low-voltage systems (network cabling), fire safety inspections, and HVAC modifications to ensure on-time project delivery.
  • Completion & Acceptance: Organize project acceptance inspections, review as-built drawings and final accounts, and ensure renovation standards comply with company VI requirements as well as national environmental and fire safety regulations.

Administrative Vendor Ecosystem Management

  • Vendor Database Development: Establish and maintain an administrative and logistical vendor database (covering categories such as property management, cleaning, plant rental, drinking water, pest control, office furniture, repair & maintenance, etc.).
  • Cost Control: Develop vendor Service Level Agreements (SLAs) and performance evaluation mechanisms, conduct regular market price inquiries and commercial reviews, and continuously optimize procurement costs through tendering or negotiation.
  • Day-to-Day Coordination: Oversee property management companies, monitor the quality of cleaning, security, and facility maintenance in common areas, and handle emergency logistical issues (such as urgent water/electrical repairs, elevator entrapments, etc.).

Daily Office Operations & Space Planning

  • Space Management: Conduct rational workstation planning and allocation based on headcount, improve office space utilization, and maintain employee seating maps.
  • Facility Maintenance: Manage daily repair requests and preventive maintenance for all office facilities and equipment (such as access control systems, water dispensers, HVAC, lighting).
  • Environment & Safety: Conduct office environment inspections to ensure fire escape routes are clear and emergency equipment is in good condition; coordinate with safety supervision authorities on safety inspections and rectifications.

Budget & Expense Control

  • Prepare quarterly office operations budgets (covering rent, property management fees, renovation amortization, maintenance reserves, miscellaneous administrative expenses, etc.), reconcile all administrative expense invoices monthly, perform month-over-month variance analysis, and submit explanatory reports to Finance.

Event Coordination

  • Plan and organize office events and meetings.
  • Coordinate logistics for internal and external meetings.

Requirements

  • Proven experience as an Administrative Manager or similar role.
  • Strong organizational skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite.
  • Familiarity with office management procedures and basic accounting principles.
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of Dubai's administrative and regulatory environment.
