You'll be stepping into a role that directly supports active project delivery, so you'll need to hit the ground running.

This is not a general admin role.

Only candidates with hands-on experience in document control in construction or fit-out will be considered.

Document Control

  • Full lifecycle management: drawings, RFIs, submittals, method statements, material approvals, BOQs, contracts, and correspondence
  • Maintain registers, logs, and trackers across multiple live projects
  • Control document flow between consultants, contractors, subcontractors, and suppliers
  • Enforce version control, approval tracking, and compliance
  • Operate and maintain document control platforms (Aconex or equivalent)
  • Structured digital and physical filing
  • Status reports for Project Managers and leadership
  • As-built documentation and project close-out files

Project Administration

  • Direct support to Project Managers and site teams
  • Coordinate and minute meetings with consultants and contractors
  • Track approvals, action items, and outstanding submissions
  • Prepare weekly and monthly project reports

Office & Team Support

  • Manage project records, contracts, and supplier documentation
  • Lead and facilitate the weekly internal meeting
  • HR admin support: personnel files, onboarding, attendance
  • Professional correspondence and document formatting

What You Bring

  • 4–7 years in Qatar in construction, interior fit-out, or engineering consultancy — mandatory
  • Proven document control experience on live construction projects
  • Solid understanding of consultant–contractor workflows
  • Proficiency in Aconex or equivalent DMS
  • Excel mastery — formulas, pivot tables, dashboards, trackers. This is non-negotiable.
  • Highly tech-savvy and current — you know the tools available today and you use them
  • Working knowledge of AI tools and how to apply them to real work tasks
  • You find solutions. When something doesn't exist, you build it. When a process is broken, you fix it.
  • Strong follow-through — you don't wait to be chased
  • Exceptional attention to detail and confidentiality
  • Clear, professional written and verbal English
