About This Role
Duration : 6 Months Contract(Possible Extension)
- Receive, index and check all incoming documentation, in any form, and enter it into the appropriate system in accordance with DHRE’s procedures.
- Scan and electronically store documents from internal and external customers that go out/ come into the department to ensure that copies of documents received/ sent are available to team as and when requested.
- Ensure compliance to the organization’s Document Management Policies and Procedures.
- Responsible to update the document master list on received issuing, updating of any document and maintain control documents.
- Liaise with concerned departments and follow up on the transfer of documents, in complete documents and review all received documents for verifying the completeness of documents.
- Responsible for maintaining a central filing system by providing effective support to the team members and management/ department to retrieve documented records at all times.
- Conduct periodic internal audits at project site offices and DHRE corporate offices to verify compliance to DHRE DMS Policy and procedures.
- Track all complaints received related to document control function and identify the gaps and suggest actions to close the gaps to avoid complaints in future.
- Assist the team members in photocopying, printing and filling the documents accurately.
Minimum Qualifications and Knowledge
- Tertiary Qualification/ Diploma or Degree in relevant field.
- Minimum Experience (number of years):
- Min. 4 to 6 years' experience in similar field.
- Preferably with prior experience in document control in real estate or Projects environment.
Job Specific Skills
- Experience in Document Life Cycle Management
- Experience in usage of SharePoint, Aconex, ECM, MS Office – Word, PPT and Excel
- Knowledge of tools and machines such as fax machine, photocopiers, binders etc.
