About This Role
Job Summary
The Document Controller is responsible for managing, controlling, and maintaining all documents related to the Estimation and Tendering Department, ensuring proper filing, version control, tracking, and timely circulation of tender documents, BOQs, drawings, vendor quotations, and correspondence.
The role supports the estimation team in organizing tender submissions, maintaining confidentiality, and ensuring all documents are readily accessible for bid preparation and management review.
Key Responsibilities
- Receive, register, classify, and maintain all incoming and outgoing estimation documents.
- Control tender documents including, ITT / RFQ / RFP documents, BOQ / Scope of Work Drawings and specifications
- Addendums / clarifications
- Technical and commercial correspondence
- Maintain hard copy and electronic filing systems.
- Ensure all drawings, BOQs, and tender revisions are updated with latest versions.
- Maintain revision logs and document registers.
- Archive superseded documents as per company policy.
- Coordinate with estimators, QS, procurement, and project teams for required documents.
- Assist in compiling tender submission files.
- Organize vendor and subcontractor quotations.
- Maintain records of comparison sheets and cost build-up documents.
- Prepare final tender submission folders.
- Ensure all required documents are attached before submission deadline.
- Coordinate submission through client portals, email, or physical submission.
- Maintain tender status reports.
- Track submission deadlines and clarification responses.
- Prepare document transmittals and submission logs.
- Follow the instruction given by Line Manager.
Requirements
- Bachelor’s Degree / Diploma in Business Administration or relevant field
- Minimum 5-6 years experience in Qatar working with Grade "A" Company.
- Experience in construction with estimation department.
