Job Summary
The Document Controller is responsible for managing, tracking, and maintaining all project documentation related to the TAQA-T Substation Project.
The role ensures that all incoming and outgoing documents, transmittals, letters, and client comments are processed accurately, distributed promptly, and maintained in accordance with project procedures and document control standards.
Key Responsibilities
- Maintain and update the project document register, including document transmittals, correspondence logs, and client comment sheets.
- Ensure the timely recording, tracking, and distribution of incoming and outgoing project documents.
- Prepare document transmittals, cover sheets, and official correspondence in accordance with the approved templates and document numbering system.
- Submit documents, drawings, and correspondence to the Consultant and Client within the required timelines.
- Circulate client comments, review sheets, and official correspondence to the relevant internal team members for necessary action.
- Coordinate with the Consultant's and Client's Document Controllers regarding document submissions, revisions, approvals, and status updates.
- Monitor document revisions and maintain version control to ensure only the latest approved documents are in circulation.
- Maintain both electronic and hard-copy filing systems in compliance with project and company document control procedures.
- Generate periodic document status reports and follow up on pending submissions, reviews, and approvals.
- Ensure confidentiality, accuracy, and completeness of all project documentation.
- Support the project team in all document control activities and administrative requirements.
Qualifications
- Bachelor's degree or Diploma in Business Administration, Engineering, or a related field.
- Minimum of 3–5 years of experience as a Document Controller, preferably in power, utility, substation, or infrastructure projects.
- Experience working on TAQA-T, TRANSCO, ADNOC, or similar UAE utility projects is an advantage.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems (Aconex, EDMS, SharePoint, or similar).
- Strong organizational, communication, and time management skills.
- Ability to work under pressure and manage multiple document submissions while meeting strict deadlines.
- Excellent attention to detail and accuracy in document control processes.
