Job Summary

The Clinic Operations Coordinator is responsible for ensuring the smooth day-to-day functioning of the clinic. This role oversees administrative workflows, patient coordination, staff scheduling, facility operations, and service quality standards. The ideal candidate is highly organized, patient-focused, and capable of managing multiple operational priorities in a fast-paced healthcare environment.

Key ResponsibilitiesClinic Operations Management

  • Oversee daily clinic operations to ensure efficient patient flow and service delivery
  • Coordinate with physiotherapists, trainers, and administrative staff to maintain schedules
  • Ensure clinic readiness, cleanliness, and compliance with health and safety standards
  • Monitor inventory levels of clinical supplies and coordinate reordering when needed

Patient Coordination & Experience

  • Manage patient bookings, confirmations, and follow-ups
  • Handle patient inquiries, feedback, and service recovery professionally
  • Ensure a high standard of customer service and patient satisfaction throughout the clinic journey
  • Maintain accurate patient records and appointment documentation

Staff Coordination

  • Assist in scheduling clinical and non-clinical staff shifts
  • Communicate daily schedules, updates, and operational changes
  • Support onboarding of new staff and coordinate training logistics

Administrative & Reporting Duties

  • Maintain operational reports including attendance, appointment metrics, and clinic performance
  • Support billing coordination and liaise with finance for payment tracking when required
  • Ensure proper documentation of clinic processes and SOP adherence

Compliance & Quality Assurance

  • Ensure clinic operations comply with UAE healthcare regulations and internal policies
  • Support audits and implement corrective actions where needed
  • Promote continuous improvement in operational workflows

Qualifications & Requirements

  • Bachelor’s degree in Healthcare Administration, Business Administration, or related field
  • 2–4 years of experience in clinic operations, healthcare administration, or customer service management
  • Strong organizational and multitasking skills
  • Excellent communication skills in English (Arabic is a plus)
  • Proficiency in clinic management systems and MS Office
  • Ability to work in a fast-paced, patient-centered environment
