Buying Administration & Operational Support

  • Provide day-to-day administrative support to Buyers and Category Managers.
  • Create, maintain, and update purchase orders within the ERP system.
  • Track purchase order status and maintain buying documentation and records.
  • Ensure all buying files, trackers, contracts, and supporting documents are accurately maintained.
  • Support the preparation and processing of buying-related documentation.
  • Follow up on pending actions and ensure timely completion of buying activities.

Product Setup & System Management

  • Create and maintain product master data within company systems.
  • Ensure product information, descriptions, barcodes, attributes, pricing, and images are accurately uploaded and maintained.
  • Support SKU creation, activation, amendments, and delisting processes.
  • Coordinate product data updates across ERP, POS, and e-commerce systems.
  • Ensure data accuracy and completeness across all relevant platforms.

P**roduct Launch Coordination

  • Support the execution of new product launches and range extensions.
  • Coordinate launch timelines and ensure all internal requirements are completed prior to launch.
  • Liaise with Marketing, VM, E-commerce, Retail Operations, Logistics, Compliance, and Warehouse teams to ensure launch readiness.
  • Track launch checklists and ensure timely completion of deliverables.
  • Coordinate the availability of testers, merchandising materials, and product information for launches.

Pricing & Promotion Administration

  • Execute approved pricing updates within company systems.
  • Support promotional setup and maintenance.
  • Ensure promotional and pricing changes are accurately reflected across relevant channels.
  • Maintain records of pricing and promotional activities.

Cross-Functional Coordination

  • Coordinate with internal stakeholders to ensure smooth execution of buying activities.
  • Follow up on product setup, compliance approvals, launch requirements, and operational action points.
  • Support issue resolution related to product availability, system setup, and launch execution.
  • Maintain effective communication across departments to ensure alignment and timely completion of tasks.

Documentation & Process Management

  • Maintain organized records of supplier agreements, product information, launch documents, and category files.
  • Ensure all buying processes are executed in accordance with company policies and procedures.
  • Support continuous improvement of buying administration processes and workflows.

Requirements

  • Bachelor's Degree in Business Administration, Retail Management, Marketing, Commerce, or related field.
  • 1–3 years of experience in Buying Administration, Merchandising Support, Retail Operations, or Commercial Administration.
  • Experience within Beauty, FMCG, Fashion, Lifestyle, or Retail industries preferred.
  • **Proficiency in Microsoft Excel, ERP systems, and retail business applications.**
