Associate Customer Service Specialist

Role overview

Knowledge and experience

• At least two years of order management or customer service experience in a multinational company.
• Work experience in medical devices or pharmaceuticals.
• Knowledge of Incoterms, customs clearance, certification procedures, and product flows through third-party logistics suppliers to warehouses and customers.
• SAP and Microsoft Office, including Excel.
• Excellent communication and relationship-building skills.
• Willingness to travel.

Orders and customer coordination

• Process and follow up on customer orders in line with policies, procedures, and work instructions, and prepare related documentation.
• Support sales contracts and related documentation.
• Maintain relationships with distributors and service providers and keep customer and material master files accurate.
• Manage web-based ordering or registrations and customer credit, returns, complaints, and price-difference matters.

Payments and process improvement

• Monitor customer payment situations and contractual compliance in collaboration with Finance and Business Unit Managers.
• Collaborate with customers and Business Unit Managers to identify and implement process improvements.

Inventory and distribution

• Manage customer-facility inventory using EDI, forecasting, replenishment, and inventory systems to address stock and allocation issues.
• Manage complaints and returns, coordinate warranty issues, maintain return acceptance criteria, and follow up on distribution holds and product returns.
• Support efficient third-party warehousing and distribution operations.
• Support establishment of an effective quality management system.
