Role Description

This is a full-time, on-site Administrative Secretary role based in the United Arab Emirates.

The Administrative Secretary will manage daily clerical and administrative tasks, including preparing documents, handling correspondence, maintaining records, and organizing files.

The role involves scheduling meetings, coordinating calendars, arranging travel or logistics, and supporting internal and external communications.

The Administrative Secretary will assist in answering phone calls, greeting visitors, and providing customer service to clients and stakeholders.

The position also includes supporting management with reports, presentations, data entry, and other office tasks to ensure smooth operations within the facilities management environment.

Qualifications

  • Candidates should possess strong clerical skills, including document preparation, filing, data entry, and record management.
  • Candidates should possess administrative assistance capabilities, such as managing correspondence, supporting managers, and handling office logistics.
  • Candidates should possess effective communication skills, including clear written and verbal communication and professional email and phone etiquette.
  • Candidates should possess scheduling abilities, including calendar coordination, meeting organization, and appointment management.
  • Candidates should possess customer service skills, including addressing inquiries, supporting clients, and maintaining a professional, service-oriented approach.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and basic office technology.
  • Strong attention to detail, time management, and organizational skills.
  • Ability to work in a fast-paced environment and collaborate with cross-functional teams.
  • Previous experience in an administrative or secretarial role, preferably within facilities management or a related industry, is an advantage.
  • Relevant diploma or bachelor’s degree in business administration or a related field is preferred.
