Role Purpose

To lead the vendor management and contract processes, assisting end users with contract administration as needed, while ensuring that vendor selection, negotiation, and performance monitoring align with Emarat's strategic objectives and comply with relevant laws and regulations.

Strategic & Managerial Responsibilities

  • Support the execution of function/unit’s goals and objectives by aligning team efforts with organizational and departmental goals, contributing to enhanced service delivery and operational effectiveness.
  • Assist in defining roles and responsibilities within the team to ensure effective management and operational continuity during personnel changes.
  • Act as the function/unit representative, communicating performance metrics and strategic initiatives to stakeholders.
  • Implement strategies to optimize costs and enhance efficiency, fostering a collaborative and innovative work environment.

Core Responsibilities

  • Identify and select vendors that meet Emarat’s quality standards to ensure optimal procurement outcomes and reliable supply chains.
  • Negotiate contracts with vendors to secure favorable terms and pricing, maximizing value while minimizing risks for Emarat.
  • Build and maintain strategic relationships with key vendors to enhance collaboration and ensure consistent performance in the supply chain.
  • Monitor vendor performance against contractual obligations, ensuring compliance and proactively addressing any issues that arise.
  • Resolve vendor disputes efficiently, escalating to senior management when necessary to ensure timely and effective resolution.
  • Source and evaluate new vendors, assessing their capabilities to meet Emarat’s evolving business needs and requirements.
  • Draft, review, and negotiate contracts to ensure alignment with Emarat’s strategic goals and compliance with applicable laws.
  • Maintain a centralized repository for all contracts and documentation, ensuring easy access and organization for procurement activities.
  • Manage the contract lifecycle, including renewals and expirations, to ensure timely actions and compliance with contractual terms.
  • Utilize the Contracts Management module in the Procurement Management System to streamline processes and improve operational efficiency.
  • Develop and implement procurement strategies that align with Emarat’s objectives and drive cost-effective initiatives across the organization.
  • Conduct market research to identify new sourcing opportunities that enhance procurement effectiveness and reduce overall costs.
  • Collaborate with internal departments to understand their procurement needs and ensure alignment with organizational goals and objectives.
  • Establish and monitor key performance indicators (KPIs) for vendor performance and contract management to drive accountability and improvement.
  • Prepare and present reports on vendor management and contract performance to senior management, highlighting key insights and recommendations.
  • Ensure the availability of standardized contract documents for tendering to streamline the procurement process and promote consistency in vendor agreements.

Quality & Excellence Management

  • Administer the development and implementation of operation quality standards and excellence initiatives, contributing to alignment with Emarat's goals and enhancing a culture of continuous improvement.
  • Assess progress and performance against set KPIs to help ensure monthly and annual targets are achieved and determine areas for corrective actions as needed.
  • Communicate compliance with labor laws and regulations during the preparation of audit reports, while obtaining knowledge of best practices and legal requirements in the UAE.
  • Ensure proper target setting and staff performance management in line with EMARAT policies.
  • Liaise with Emarat's legal department regarding contractual responsibilities to ensure clarity and alignment.

People Management Responsibilities

  • Encourage a culture of continuous learning and development within the team, promoting opportunities for professional growth and skill enhancement.
  • Serve as a mentor to ensure team members are aware of and committed to Emarat’s vision, mission, values, and corporate strategy, fostering engagement and motivation.
  • Collaborate with team members to clarify roles and responsibilities, facilitating discussions that align efforts with Emarat's strategic objectives.
  • Identify and support the development of high-potential colleagues, sharing information about career opportunities and growth paths to enhance engagement.
  • Participate in initiatives that promote employee engagement and job satisfaction within the team, contributing to a positive work environment.

Qualifications And Experience

  • Bachelor’s degree in Business Administration, Supply Chain Management or a related field.
  • Preferred: Relevant professional certification (e.g., Certified Purchasing Manager, Certified Supply Chain Professional).
  • Required: Minimum of 8 years of experience with 3+ years in a managerial role.
  • Preferred: Proven track record of developing and implementing successful vendor management Contracts development strategies that drive cost savings and operational efficiency.
  • A minimum of 6 years of experience may be considered exceptional for candidates of high caliber.
