We are seeking an experienced and highly detail-oriented
Travel Administrator
to oversee all aspects of global travel for a UHNWI private family.
The ideal candidate will have extensive experience managing complex, luxury travel arrangements with absolute discretion, flexibility, and precision.
Key Responsibilities
- Plan, coordinate, and execute all travel arrangements for the principal(s), family members, and guests
- Manage private jet bookings, commercial flights (first/business class).
- Arrange luxury accommodations, including villas, hotels, and serviced residences
- Coordinate ground transportation, security, and concierge services at all destinations
- Develop detailed, day-by-day travel itineraries with contingencies
- Liaise with personal assistants, house managers, security teams, and external vendors
- Ensure all travel documents (visas, passports, permits) are valid and up to date
- Monitor travel disruptions and proactively adjust plans in real time
- Maintain preferred partnerships with luxury travel providers and negotiate rates
- Oversee travel budgets, reporting, and expense tracking
- Organize travel logistics for large groups, events, and special occasions
- Ensure privacy, confidentiality, and seamless execution at all times
Requirements
- Proven experience managing travel for UHNWI, VIPs, or high-profile clients
- Strong network within luxury travel, aviation, and hospitality sectors
- Expertise in private aviation
- Exceptional organizational and multitasking skills
- Ability to work under pressure and adapt quickly to last-minute changes
- High level of discretion and confidentiality
- Proficiency in travel booking systems and itinerary management tools
- Flexibility to work irregular hours and be on-call when required
- Strong communication and negotiation skills
- Multilingual abilities are an advantage
Preferred Background
- Previous experience in a private household, family office, or luxury concierge service
- Experience coordinating travel across multiple time zones and jurisdictions
- Familiarity with visa processes for high-mobility clients

Compensation & Benefits
