Role Overview
Horn Ridge Engineering and Consultancy is seeking an experienced and highly organized Technical Administrator to provide administrative, secretarial, and document control support across both the Projects Department and the Operations Department located in Garowe, Somalia.
This role requires a candidate with a strong background in administration and at least 7 years of relevant experience, preferably within an engineering consultancy, construction company, or technical environment.
The ideal candidate must have a solid understanding of construction-related documentation, technical drawings, and document control procedures, along with strong English communication skills.
The position plays a key role in ensuring that project and operational records, correspondence, technical documents, and internal communications are well managed, accurately recorded, and properly controlled.
Document Control and Records Management
- Maintain, organize, and manage all company and project-related documents, including technical drawings, reports, specifications, letters, and correspondence
- Ensure proper document numbering, filing, version control, and tracking of revisions
- Maintain accurate electronic and physical filing systems for easy retrieval of records
- Distribute updated drawings and documents to relevant departments and ensure obsolete versions are removed from circulation
- Support the archiving of completed project and operational documents in accordance with company procedures
Contracts & Official Documentation
· Maintain a central register of contracts, agreements, and formal commitments.
· Track contract statuses, expiry dates, and renewal requirements.
· Ensure all executed documents are properly logged, filed, and accessible to authorised personnel.
Secretarial and Administrative Support
- Provide full secretarial and administrative support to the Projects and Operations Departments
- Draft, format, type, and issue letters, reports, memos, and other official correspondence
- Manage incoming and outgoing communications, including emails, letters, and document transmittals
- Schedule meetings, coordinate appointments, and follow up on action points
- Prepare and maintain organized records of departmental activities and documentation
- · Support coordination of organisation-wide administrative activities.
- · Assist with scheduling travel, site visits, and official engagements as required.
- · Ensure smooth daily operation of executive administrative functions.
Meeting Coordination and Minutes
- Arrange internal and external meetings as required
- Attend meetings and take accurate, clear, and professional minutes
- Prepare meeting minutes in a timely manner and circulate them to relevant attendees
- Track action items arising from meetings and follow up with concerned team members where required
Technical and Departmental Coordination
- Support coordination between technical staff, project teams, management, consultants, contractors, and external stakeholders
- Assist in handling technical submissions, drawing registers, document logs, and approvals
- Ensure that project and operational documentation is aligned, updated, and properly communicated across departments
- Provide general coordination support for office operations related to engineering and construction activities
Professional Standards & Confidentiality
· Handle sensitive and confidential information with discretion and professionalism.
· Ensure all executive documentation and correspondence comply with organisational standards and protocols.
· Maintain neutrality and professionalism when dealing with all departments.
RequirementsQualifications & Experience
- Diploma or Bachelor’s degree in Business Administration, Office Management, Engineering, Construction Management, or a related field
- Minimum **7 years of relevant professional experience** in a secretarial, administrative, or document control role
- Proven experience in an **engineering consultancy, construction company, or technical office environment** is required.
