Senior Associate - Administration (UAE National)
About This Role
A detail-oriented Senior Associate - Admin for Expo City Authority. The Senior Associate - Admin will play a vital role in ensuring the efficient operation of our office by providing administrative support and coordinating various tasks and projects. The ideal candidate will have strong organizational skills, excellent communication abilities and a commitment to maintaining high standards of professionalism.
The main responsibilities for this role include:
Administrative Support:
- Assist in maintaining efficient office operations by managing correspondence, scheduling meetings, and ensuring adequate office supplies in adherence to Expo City Standards.
- Handle incoming and outgoing communications, including emails, phone calls, and mail, and respond or redirect as appropriate.
Document Management:
- Organize and maintain both physical and digital office files, documents, and records, ensuring accuracy, accessibility, and confidentiality at all times.
Meeting and Event Coordination:
- Coordinate and organize meetings, conferences, and events, including booking venues, arranging catering, preparing materials, and managing logistics to ensure seamless execution.
- Welcome and greet visitors attending events and meetings in accordance with Expo City's hospitality standards, providing a positive and professional experience.
Guest Management:
- Manage the arrival and departure logistics for guests of Expo City Authority, ensuring their needs are accommodated and any special requirements are addressed promptly and efficiently
- Project Support:
- Provide support for special projects, initiatives, or events as required, including conducting research, coordinating activities, and offering administrative assistance to ensure successful outcomes.
Additional Tasks:
- Undertake additional tasks and responsibilities as assigned by management to support the overall functioning of the office and organization, demonstrating flexibility and adaptability.
Knowledge, Qualifications and Skills required
Essential:
1+ years of relevant experience as well as:
- Bachelor's degree in Business Administration, Office Management, or related field preferred.
- Proven experience in an administrative support role, preferably in a fast-paced office environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, with a high level of professionalism.
- Bilingual in Arabic and English
- Proficiency in Microsoft Office Suite and other office software.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to changing priorities and deadlines.
- Strong attention to detail and accuracy in work
- Ability to drive a Buggy when required (training / license will be provided by Expo City Dubai)
