Position: Receptionist & Investor Administration Coordinator

This role combines front-office responsibilities with investor administration and operational support.

The successful candidate will play a key role in supporting investor onboarding, document control, account activation processes, investor file management, and coordination with subsidiary companies and internal teams.

This position serves as an important gatekeeper before investor activation.

Key Responsibilitiesinvestor Administration

  • Collect and organize
  • KYC documentation
  • **Manage investor files, records, agreements, and onboarding documentation**
  • **Maintain onboarding trackers and update CRM systems**
  • **Coordinate investor account setup and activation processes**
  • **Manage welcome email issuance and investor login credentials**
  • **Follow up on pending or missing investor documents**
  • **Support investor migration projects and prepare onboarding documentation packs**
  • **Maintain accurate document control systems and records**

Subsidiary Coordination

  • Coordinate administrative communication with subsidiary companies and internal teams
  • Track
  • AUM allocation requests
  • **Monitor onboarding and migration activities**
  • **Maintain records of deposits and confirmations**
  • **Support investor account transition processes**

Reception Support

  • Assist with front-office operations when required
  • Support investor meetings and guest coordination to ensure a professional experience

Requirements

  • Minimum
  • 2 years of experience
  • in administration, document control, compliance support, banking operations, real estate administration, or financial services
  • Excellent organizational skills and strong attention to detail
  • Professional written and verbal communication skills
  • Advanced

Preferred Qualifications

  • Experience in

Kyc

  • or compliance-related functions
  • Experience using
  • CRM systems
  • **Background in financial services**
  • or
  • investment administration
