Receptionist
serves as the first point of contact for clients, guests, and visitors while providing professional front desk and administrative support across the organization.
The role is responsible for creating a welcoming environment, managing front office operations efficiently, and supporting administrative coordination to ensure smooth day-to-day business operations.
Front Desk Management
- Greet and welcome visitors, clients, and guests in a professional and friendly manner
- Notify employees of visitor arrivals and coordinate guest handling
- Maintain a clean, organized, and professional reception area aligned with company standards
Call Handling & Communication
- Answer, screen, and forward incoming calls professionally and efficiently
- Respond to general inquiries via phone, email, and in person
- Redirect inquiries to the appropriate departments when required
Meeting & Office Coordination
- Manage meeting room bookings and schedules
- Ensure meeting rooms are properly prepared and equipped
- Support coordination of internal meetings, appointments, and business luncheons
Administrative Support
- Receive and distribute mail, courier shipments, and deliveries
- Assist with filing, scanning, photocopying, and data entry tasks
- Maintain internal contact directories and office records
- Support Human Capital and Administration teams with documentation and filing
- Provide administrative support to senior management, including travel coordination and scheduling
- Assist with meeting minutes, team activities, onboarding activities, and company events
- Monitor office supplies and coordinate replenishment with vendors and procurement teams
Compliance & Confidentiality
- Maintain confidentiality of company information, documents, and visitor records
- Ensure compliance with company policies and front desk procedures
- Support workplace safety requirements and monitor office essentials such as first aid supplies
Qualifications & Experience
- High School Diploma or equivalent qualification required
- Diploma in Office Administration or Customer Service is preferred
- 2–4 years of experience in a receptionist or front desk role, preferably within the UAE
- Strong communication, interpersonal, and customer service skills
- Professional appearance and positive attitude
- Strong organizational and multitasking abilities
- Proficiency in MS Office applications (Word, Excel, Outlook)
- Fluent in English (spoken and written)
- Arabic, Hindi, Tagalog, or additional languages are considered an advantage
- Familiarity with telephone systems and general office administration tools
