1. Visitor & Client Management
- Greet and welcome visitors, and direct them to the appropriate person or department .
- Manage the sign-in process, issue visitor passes or badges, and maintain security logs .
- Notify staff of visitor arrivals .
2. Communication & Inquiries
- Answer, screen, and forward telephone calls, and take accurate messages .
- Respond to in-person, telephone, and email inquiries, providing information about the organization's activities and services .
- Handle and resolve complaints from clients and the public in a courteous manner .
3. Administrative Support
- Manage appointments, reservations, and meeting room bookings .
- Receive, sort, and distribute incoming and outgoing correspondence, mail, and deliveries .
- Perform general clerical tasks such as word processing, data entry, filing, and photocopying .
- Maintain a clean, organized, and professional reception area .
4. Additional & Industry-Specific Duties
- In a hospitality setting, duties may include check-in/check-out procedures, handling payments, and using up-selling techniques .
- Assist with event planning and coordination .
- Support other departments with administrative tasks as needed
