About the Role
We are looking for a highly organised, professional and energetic Reception & Office Manager to join our team in JLT, Dubai.
This is a key front-of-house and office support role within the property investment sector, ideal for someone who enjoys being the first point of contact, keeping an office running smoothly, and supporting a busy team in a fast-paced professional environment.
The successful candidate will be confident, proactive, well-presented and able to manage multiple priorities while maintaining excellent attention to detail and a high standard of work.
Responsibilities
- include, but are not limited to:
- Acting as the first point of contact at reception, greeting visitors, clients and staff in a professional and welcoming manner.
- Answering telephone queries, handling incoming calls and redirecting them as required.
- Updating and maintaining data held on the CRM and associated databases.
- Scheduling internal and external meetings using Zoom, Outlook 365, Microsoft Teams and other relevant platforms.
- Supporting diary management for senior team members.
- Booking travel arrangements for senior personnel.
- Maintaining the appearance and smooth running of the office, including post, filing systems and stationery supplies.
- Liaising with external technical support providers and office service facilitators.
- Preparing and issuing company documentation, memos and other internal communications.
- Maintaining accurate records and ensuring information is filed and stored appropriately.
- Providing administrative support to the sales team where required.
- Handling confidential information with discretion and professionalism.
- Supporting the team with ad-hoc administrative and office management duties as needed.
About You
- You will be someone who is confident, personable and highly organised, with a positive attitude and a strong sense of ownership.
- The ideal candidate will have:
- 2–3 years’ experience in a similar administrative, reception, office management or customer-facing role.
- Previous experience providing administrative support to a sales team.
- A professional, polished and immaculate presentation.
- Excellent communication skills, both over the phone and by email.
- Articulate, with fluent English or as a first language
- A proactive, “can do” and “get it done” attitude.
- The ability to work well in a fast-paced environment and manage ambiguity confidently.
- Strong organisational skills and the ability to juggle multiple priorities and projects.
- Excellent attention to detail and accuracy.
- The ability to work to tight deadlines while maintaining a high standard of work.
- Strong emotional intelligence, with the ability to read people quickly and respond with empathy and professionalism.
- A high level of accountability and willingness to learn.
- The ability to handle highly confidential information with discretion.
- Confidence taking ownership of tasks from start to finish.
Required Skills and Experience
- Intermediate proficiency in Microsoft Office 365, particularly Outlook and Excel.
- Strong working knowledge of Zoom, Microsoft Teams and other business communication platforms.
- Familiarity with Adobe Acrobat.
- Experience using cloud-based storage systems, with Dropbox preferred.
- Excellent written and verbal English communication skills.
- Strong administrative, coordination and record-keeping abilities.
Preferred Skills
- Familiarity with a CRM platform.
- Experience working in a sales-led or client-facing business environment.
