Overview
We are looking for an organized, detail-oriented, and proactive **Real Estate Administrator** to manage our daily office operations and support our sales and leasing teams.
As the operational backbone of our company, you will handle property listings, coordinate documentation, manage CRM data, and ensure seamless communication between agents, landlords, and tenants.
The ideal candidate is a multitasking expert who understands the fast-paced nature of the Abu Dhabi real estate market.
Responsibilities
- **Listing Management:** Upload, update, and maintain property listings across major portals (Property Finder, Bayut, Dubizzle) and the company website, ensuring high-quality descriptions and images.
- **CRM & Data Entry:** Manage and maintain the company CRM system, tracking leads, client interactions, and property inventories with high accuracy.
- **Documentation & Compliance:** Prepare, review, and process real estate documents including Tenancy Contracts, Listing Agreements (Form A/B), and assist with Tawtheeq coordination.
- **Team Support:** Assist sales and leasing agents with administrative tasks, coordinate schedules, and draft professional correspondence or NOCs (No Objection Certificates).
- **Front-of-House & Communication:** Screen incoming calls, WhatsApp inquiries, and emails, routing them to the appropriate agents efficiently.
- **Compliance Monitoring:** Ensure all listings and transactions comply with the latest Abu Dhabi Department of Municipalities and Transport (DMT) and Real Estate Regulatory Agency regulations.
Key Requirements
- **Experience:** Minimum of 1–2 years of experience in an administrative role, ideally within a real estate brokerage in the UAE.
- **Software Skills:** Proficiency in MS Office (Word, Excel, Outlook) and hands-on experience with real estate CRMs (e.g., PropSpace, Masterkey) and listing portals.
- **Market Knowledge:** Familiarity with Abu Dhabi’s major residential communities and basic knowledge of local leasing/sales regulations and documentation.
- **Communication:** Exceptional verbal and written communication skills in English. (Fluency in Arabic or Hindi/Urdu is a distinct advantage).
- **Organization:** Strong time-management skills with the ability to prioritize tasks under tight deadlines in a dynamic environment.
