Purchasing Specialist

Role Overview

Supplier Management

• Identify, evaluate, and develop relationships with local and international suppliers for food ingredients, packaging materials, equipment, and other operational requirements.
• Negotiate pricing, payment terms, contracts, and delivery schedules to secure competitive commercial terms.
• Monitor supplier performance in terms of quality, pricing, reliability, and service levels.

Procurement and Purchase Order Management

• Manage the end-to-end purchasing process, ensuring timely and cost-effective procurement in line with company policies and operational requirements.
• Prepare, review, and process purchase orders accurately, ensuring compliance with approved budgets and authorization procedures.
• Coordinate with suppliers and internal stakeholders to ensure timely deliveries and resolve procurement-related issues.

Inventory and Stock Coordination

• Monitor inventory levels, stock movements, and replenishment requirements to ensure uninterrupted business operations.
• Coordinate with operations, warehouse, and inventory teams to maintain optimal stock levels and minimize wastage, shortages, and excess inventory.
• Conduct periodic stock reviews and support inventory reconciliation where required.

Cost Analysis and Optimization

• Analyze supplier quotations, pricing trends, and commercial agreements to ensure cost competitiveness.
• Identify cost-saving opportunities through strategic sourcing, supplier negotiations, and procurement process improvements.
• Monitor market prices and support budget adherence while maintaining product quality and operational standards.

Quality Assurance and Compliance

• Coordinate with Quality Assurance and Operations teams to ensure purchased goods meet company specifications, food safety standards, and applicable regulatory requirements.
• Address supplier-related quality concerns, delivery discrepancies, and non-compliance issues promptly.
• Ensure all procurement activities comply with company policies and relevant local regulations.

Documentation and Reporting

• Maintain accurate procurement records, including purchase orders, supplier agreements, quotations, invoices, and supplier databases.
• Prepare purchasing reports covering procurement spend, cost savings, supplier performance, and outstanding orders.
• Ensure proper documentation, approvals, and audit readiness across all purchasing activities.

Market Research and Strategic Sourcing

• Conduct market research to identify new suppliers, alternative products, and opportunities to improve procurement efficiency.
• Stay updated on F&B market trends, commodity prices, product availability, and supplier developments in Kuwait.
• Develop and maintain a competitive supplier base to support business continuity, quality, and cost efficiency.

Requirements

• Proven experience in purchasing and supplier management within the F&B industry in Qatar.
• Strong negotiation, analytical, and cost-control skills.
• Ability to manage end-to-end purchasing in line with company policies and budgets.
• Ability to coordinate with suppliers and internal stakeholders to ensure timely deliveries.
• Knowledge of food safety standards and applicable regulatory requirements for purchased goods.
• Ability to maintain accurate procurement records and prepare purchasing reports.
• Ability to conduct market research and stay updated on F&B market trends and commodity prices.
