About the Role
Tashkeel and Tasmeem Tashkeel operate across art, design, and production, delivering projects that move from concept through to fabrication and installation. This role supports the structure behind that process.
The Projects and Materials Coordinator is responsible for maintaining clarity across project documentation and material resources. The role ensures that all project information is accurately recorded, updated, and accessible, while also managing the physical and digital tracking of material samples used across projects. Working closely with the Project Manager and Tasmeem design team, this position plays a key role in aligning information, materials, and workflow.
Key Responsibilities
Project Documentation and System Management
- Maintain and update all project records within ZOHO, ensuring accuracy and completeness at every stage
- Track project timelines, milestones, team assignments, and status updates across all active jobs
- Ensure all briefs, meeting notes, RFIs, approvals, and revisions are properly documented and stored
- Support the Project Manager in maintaining structured and traceable workflows
Materials Tracking and Database Management
- Create and maintain a centralized materials database for Tashkeel and Tasmeem Tashkeel
- Catalogue all material samples including finishes, fabrics, metals, woods, and bespoke elements
- Record specifications, suppliers, costs, and usage across projects
- Ensure each material sample is labeled, stored, and easily retrievable
- Track the movement of materials between teams, projects, and external vendors
Coordination with Design and Production Teams
- Work closely with the Tasmeem design team to document material selections and updates
- Ensure material choices are recorded and aligned with project specifications
- Coordinate with suppliers and manufacturers to gather material information and samples when required
- Support the transition from design to production through accurate documentation
Inventory and Physical Organization
- Oversee the organization of the materials library within Tashkeel
- Ensure storage systems are maintained and updated regularly
- Conduct periodic audits of materials to ensure records match physical inventory
Communication and Alignment
- Act as a support link between the Project Manager and design team
- Ensure all stakeholders have access to the most up-to-date project and material information
- Flag missing information, discrepancies, or gaps in documentation
Requirements
- 3 to 5 years of experience in a coordination, documentation, or materials-related role
- Experience working within design, interiors, architecture, or production environments is preferred
- Strong organizational and administrative skills with high attention to detail
- Experience using project management systems such as ZOHO or similar platforms
- Ability to manage both digital systems and physical inventories
- Strong communication skills and ability to work across multiple teams
- Ability to handle multiple projects and maintain structured workflows
Preferred Profile
- Bachelor’s degree in Business Administration, Operations, Supply Chain, or a related field
- Experience managing materials libraries or sample tracking systems
- Familiarity with design terminology, materials, and fabrication processes
- Strong systems-thinking mindset with the ability to create and maintain order across complex workflows

Job Types: Full-time, Permanent
Pay: AED7,000.00 - AED9,000.00 per month
