Procurement & Inventory Controller

Role overview

Inventory and warehouse

• Monitor warehouse and branch stock and maintain accurate inventory records in the company inventory/ERP system.
• Verify incoming and outgoing stock against invoices, purchase orders, and delivery documents.
• Conduct daily stock checks, periodic physical counts, and inventory reconciliation.
• Identify and report shortages, excess stock, damaged products, and discrepancies.
• Ensure products are stored, labeled, organized, and accessible; coordinate stock handling with warehouse staff.
• Monitor slow-moving, fast-moving, and out-of-stock products.

Branch distribution and procurement

• Communicate with branch managers about stock requirements and arrange transfers when needed.
• Prepare stock-transfer requests, delivery documents, and dispatch records; confirm receipts and update inventory records.
• Check dispatched products, models, quantities, and specifications, and investigate transfer discrepancies.
• Assist the Procurement Manager with product sourcing and supplier quotations.
• Prepare supplier price comparisons in Microsoft Excel and compare pricing, availability, payment terms, delivery timelines, and warranty conditions.
• Assist with authorized negotiations, prepare approved purchase orders, and follow up on supplier orders and deliveries.
• Verify received products against approved purchase orders and supplier invoices; maintain supplier and purchasing documentation.
• Identify opportunities to reduce purchasing costs and improve stock availability.

Reporting and coordination

• Prepare daily, weekly, and monthly inventory reports, including separate reports for warehouse, retail branches, and online inventory.
• Compare physical quantities with system quantities and report discrepancies, damaged, defective, returned, reserved, or missing stock.
• Track pending branch transfers and product serial numbers and IMEI numbers where applicable.
• Prepare stock-shortage reports and recommend replenishment quantities.
• Maintain purchase orders, quotations, invoices, stock transfers, and delivery notes; coordinate with accounting on purchasing documents and discrepancies.
• Work with the Procurement Manager, warehouse staff, and branch managers and follow company procedures for purchasing, inventory control, and warehouse operations.

Requirements

• Minimum 2–3 years of relevant experience in procurement, inventory control, warehouse operations, or stock management.
• Experience in electronics, mobile phones, accessories, or consumer electronics trading is strongly preferred.
• Strong inventory control skills, warehouse operations experience, and excellent Excel knowledge.
• Ability to coordinate with suppliers, branch managers, and the Procurement Manager.
