Role overview

Portfolio, resources, and financial reporting

• Produce portfolio reports, dashboards, and KPIs; communicate project status, changes, and prioritization outcomes to IT leadership, project managers, and stakeholders.
• Follow up on project updates and escalate persistent gaps.
• Coordinate quarterly resource planning by consolidating project demand and capacity, identifying conflicts, and working with managers to resolve them.
• Manage monthly IT labor reporting and classifications; review IT expenses, maintain project allocation documentation, and provide data for project financial reviews.

PMO and AI portfolio

• Maintain PMO templates, methodology documentation, and process guides; identify process improvements and train new project managers and managers.
• Document AI use case requests, coordinate security, privacy, and risk reviews, and report status to IT leadership and AI governance stakeholders.
• Use approved AI tools for reporting, analysis, meeting documentation, templates, and training; review outputs for accuracy and confidentiality and identify automation opportunities.

Knowledge, skills, and abilities

• Intermediate Excel knowledge, including pivot tables, lookups, and data validation.
• Basic knowledge of Microsoft 365 Copilot and Claude, including prompt writing and evaluating outputs for accuracy.
• Basic knowledge of Microsoft 365 tools, including Word, PowerPoint, Teams, and SharePoint.
• Basic knowledge of Microsoft Project and Planner, including project schedules, resource assignments, and reporting.
• Basic knowledge of Waterfall, Agile/Scrum, and hybrid project management approaches.
• AI governance knowledge, including use case intake, risk assessment, and data privacy, is preferred.
• Ability to learn and apply IT cost classification rules for capital, SaaS, and operating expenses.

Requirements
