About This Role

We are seeking an experienced and proactive Office Manager with a strong background in Facilities Management (FM) to oversee the daily operations of the office and ensure a well-maintained, efficient, and compliant working environment. The role combines administrative leadership, facilities coordination, and HR support to ensure smooth business operations.

Key Responsibilities

Office Management & Administration

  • Oversee daily office operations and ensure smooth workflow
  • Supervise administrative staff and allocate tasks effectively
  • Develop and implement office policies and procedures
  • Handle correspondence, reports, and management documentation
  • Coordinate meetings, calendars, and internal communications

Facilities Management

  • Coordinate with contractors and service providers to ensure service quality
  • Plan and monitor preventive and corrective maintenance schedules
  • Manage vendor contracts, negotiations, and performance evaluations
  • Ensure compliance with health & safety standards and local regulations
  • Maintain asset registers and oversee equipment lifecycle

Human Resources Support

  • Oversee recruitment processes: job postings, screening, and interview coordination
  • Oversee attendance, leave management, and payroll coordination
  • Ensure compliance with UAE labor laws and company HR policies

Finance & Reporting

  • Monitor office and FM budgets, track expenses, and control costs
  • Review and verify invoices from vendors and service providers
  • Coordinate with finance for payroll processing and WPS submissions
  • Prepare operational and management reports

Coordination & Leadership

  • Act as the main point of contact between management, employees, and vendors
  • Ensure effective communication across departments
  • Handle employee concerns and escalate when necessary
  • Drive continuous improvement in office and FM processes

Requirements

1. Bachelor’s degree in business administration, Facilities Management, or related field

2. Minimum 4–7 years of experience in office management with FM exposure

3. Strong knowledge of Facilities Management operations (MEP, soft services)

4. Familiarity with UAE labor law and administrative compliance

5. Proficiency in MS Office and reporting tools

6. Strong leadership and team management skills

7. Excellent communication skills

Job Type: Full-time

Pay: AED7,000.00 - AED8,000.00 per month
