About the Role

Baron & Cabot is seeking a proactive and highly organized **Office & Administration Manager** to oversee the day-to-day operations of our Dubai office.

This role is responsible for ensuring a professional, efficient, and well-maintained workplace while supporting employee onboarding, administration, visa processes, and cross-departmental coordination.

The ideal candidate will have prior experience managing office operations in the UAE, preferably within the real estate sector.

Office Operations, Facilities & Administration

  • Take full ownership of office operations, facilities, administration, and employee onboarding to ensure a highly professional and efficient workplace environment.
  • Oversee the daily operations of the office and ensure a productive and professional work environment.
  • Manage reception and front-office functions, including visitor management and general office administration.
  • Maintain office supplies, equipment, and inventory, ensuring uninterrupted business operations.
  • Coordinate office maintenance, repairs, housekeeping, and facility management requirements.
  • Manage relationships with vendors, suppliers, building management, and service providers.
  • Organize travel arrangements, including flight, hotel, and transportation bookings when required.
  • Act as the central point of contact for office administration and operational matters.

HR Administration, Employee Onboarding & Visa Coordination

  • Conduct onboarding sessions for new employees and ensure a seamless joining experience.
  • Coordinate employee documentation and onboarding processes.
  • Arrange and provide employee credentials, email accounts, system access, ID cards, and related resources.
  • Liaise with relevant departments to ensure all onboarding requirements are completed on time.
  • Maintain employee records and coordinate visa, medical insurance, and employment documentation with internal and external providers as required.
  • Support HR administration and employee-related coordination activities.

Coordination & Employee Engagement

  • Coordinate with all departments to ensure smooth communication and workflow across the organization.
  • Manage meeting room schedules, company events, and administrative logistics.
  • Handle courier services, incoming and outgoing correspondence, and office records.
  • Provide administrative support to senior management and assist with special projects as required.
  • Support employee engagement initiatives, team events, office celebrations, and internal communication activities.

Requirements

  • 3–5 years of experience managing office operations within the UAE.
  • Previous experience in the Real Estate industry is highly preferred.
  • Strong understanding of UAE office administration practices, visa processes, and vendor management.
  • Experience handling employee onboarding, visa coordination, and administrative operations.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently while coordinating effectively with multiple departments and stakeholders.

Preferred Background

  • Experience working in a Real Estate, Property Investment, Brokerage, or Property Development company.
  • Familiarity with supporting fast-paced sales and operational teams.
  • Experience coordinating with multiple departments and senior stakeholders.
