Material Coordinator

Job purpose

Delivery notes and shipment coordination

• Create delivery notes in SAP and ensure accurate warehouse handover for picking and packing.
• Follow up with warehouse teams on material readiness, packing, labeling, and collection handover.
• Prepare shipping documents and coordinate goods release, including communication with customers to obtain required GL.
• Arrange outbound shipment collection with customer-assigned freight forwarders.
• Track shipments and update customers, sales, warehouse teams, and internal stakeholders on progress, delays, and expected completion.

Trade compliance and SAP transactions

• Verify shipping and customs paperwork, HS codes, invoices, packing lists, and supporting documents before shipment processing.
• Coordinate import and export customs documentation with the OSC team.
• Perform post goods issue in SAP after shipment collection and attach relevant documents for invoicing.
• Prepare HS code summaries and coordinate inbound customs clearance with OSC and freight forwarders.
• Physically verify inbound shipments and post goods receipt in SAP to update inventory records.

Inventory and process improvement

• Maintain shipment records and audit trails in SAP or shared systems.
• Monitor stock accuracy, perform inventory checks, and coordinate storage-location updates.
• Track excess and obsolete materials in location 9999 and work with sales on storage changes or write-off/on actions.
• Identify recurring process gaps in delivery notes, shipment handover, clearance, goods receipt, goods issue, and documentation, and suggest improvements.

Education and experience

• Diploma or bachelor's degree in logistics, supply chain, or a related field.
• 3–5 years of relevant experience in logistics coordination or warehouse operations.
• Hands-on experience with SAP processes and international shipping documentation, including import, export, delivery notes, goods receipt, and goods issue.
• UAE logistics experience; Jebel Ali Free Zone import/export and customs-clearance experience is preferred.

Knowledge and skills

• Good understanding of international trade and customs regulations.
• Proficiency in SAP and Microsoft Office; SAP MM / SD process knowledge or relevant SAP certification is required.
• Import/export documentation or customs-clearance training and Incoterms training or certification are listed as required certificates.
• Strong communication, coordination, follow-up, and problem-solving skills; attention to detail and analytical thinking.
• Ability to work with multicultural teams, customers, warehouse staff, sales teams, and freight forwarders, manage urgent priorities, and provide timely shipment updates.
• Basic HSE and warehouse safety awareness training and Microsoft Office proficiency certification are added advantages.
