Material Coordinator

Job purpose

Shipment coordination

• Create delivery notes in SAP and hand them over accurately to the warehouse for picking and packing.
• Follow up with warehouse teams on material readiness, packing, labeling, and collection handover.
• Prepare shipping documents and coordinate with customers to obtain goods release.
• Arrange outbound collection with customer-assigned freight forwarders.
• Track inbound and outbound shipments and update customers, sales, warehouse, and internal stakeholders on progress, delays, and expected completion.

Trade compliance and inventory

• Check shipping paperwork, customs documents, HS codes, invoices, packing lists, and supporting documents for accuracy and completeness.
• Coordinate import and export customs documentation with the OSC team.
• Prepare HS code summaries and coordinate inbound customs clearance with OSC and freight forwarders.
• Execute post goods issue in SAP after collection and attach documents to support invoicing.
• Physically verify inbound shipments and post goods receipt in SAP.
• Maintain shipment records and an auditable document trail in SAP or shared systems.
• Monitor inventory accuracy and storage locations; track excess and obsolete inventory in location 9999 and coordinate location changes or write-offs.
• Resolve shipment, documentation, customs, and system issues; identify recurring process gaps and suggest improvements.

Education and experience

• Diploma or bachelor's degree in Logistics, Supply Chain, or a related field.
• 3–5 years of relevant logistics coordination or warehouse operations experience.
• Good understanding of international trade and customs regulations.
• Hands-on SAP process experience and experience with international shipping documents, import/export, delivery notes, goods receipt, and goods issue.
• UAE logistics experience; Jebel Ali Free Zone import/export and customs-clearance experience is preferred.

Technical qualifications

• SAP MM/SD process knowledge or relevant SAP certification.
• Import/export documentation or customs-clearance training, and Incoterms training or certification.
• Proficiency in SAP and MS Office tools.
• Basic HSE and warehouse safety awareness training and MS Office proficiency certification are added advantages.
• Analytical thinking, attention to detail, and strong communication, coordination, follow-up, and problem-solving skills.
• Ability to work with multicultural teams, provide clear customer updates, and manage urgent shipment priorities.
