Overview
We are seeking a highly organized and detail-oriented **Logistics Documentation Coordinator** to support the Logistics Department in all administrative, documentation, and operational coordination activities.
The successful candidate will work closely with the Logistics Administrator and Logistics Management Team to ensure accurate record keeping, compliance monitoring, document control, and coordination of logistics-related approvals and renewals.
Key Responsibilities
- Provide administrative and documentation support for all Logistics Department activities.
- Maintain logistics records, operational documents, approvals, forms, and correspondence.
- Prepare official letters, reports, memos, schedules, and logistics communications.
- Monitor document flow between projects, logistics divisions, suppliers, and management.
- Maintain complete filing systems for logistics-related statutory and operational documents.
- Monitor validity, expiry, renewal, and tracking of:
- Vehicle Registrations
- Equipment Registrations
- Insurance Policies
- Third-Party Certificates
- Inspection Certificates
- Municipality Permits
- Operational Licenses
- Coordinate with insurance providers, government authorities, and third-party agencies regarding approvals, renewals, and documentation.
- Maintain records of gate passes, permits, access documents, and logistics operational paperwork.
- Maintain records of manpower deployment, transportation schedules, and equipment allocation.
- Support logistics reporting, KPI tracking, and operational monitoring activities.
- Coordinate with HR regarding logistics personnel attendance and documentation requirements.
- Maintain proper filing and archiving of logistics operational records and communications.
- Support management during audits, inspections, and operational reviews.
- Ensure confidentiality, accuracy, and proper control of logistics documentation and records.
- Support all logistics divisions in administrative coordination and operational follow-up activities.
& Experience
- Bachelor's Degree or Diploma in Business Administration, Logistics, Supply Chain Management, or a related field.
- Minimum 3–5 years of experience in logistics administration, document control, or a similar administrative role.
- Experience in construction, contracting, transportation, or logistics operations is preferred.
- Strong knowledge of document management and record-keeping practices.
- Proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint).
- Experience handling vehicle registrations, insurance documentation, permits, and compliance records is an advantage.
