Job Summary
We are looking for a
Logistics Specialist – Import & Export to manage and follow up all import and export shipments, ensure proper documentation, coordinate with suppliers, shipping lines, freight forwarders, customs brokers, warehouse, finance, and sales teams, and guarantee that all shipments are delivered on time with accurate cost control and compliance.
The ideal candidate should have strong experience in UAE import/export procedures, shipping documentation, customs clearance, Incoterms, shipment tracking, and coordination with international suppliers and customers.
1. Import Shipment Management
· Coordinate with international suppliers for shipment readiness, packing details, and required documents.
· Follow up on import shipments from origin until arrival at UAE port or final delivery location.
· Coordinate with freight forwarders, shipping lines, and customs brokers.
· Review and verify shipping documents before shipment departure.
· Ensure timely customs clearance and delivery to warehouse.
· Track ETA, vessel details, container status, delays, and demurrage risks.
· Coordinate with warehouse for receiving, inspection, and GRN updates.
2. Export Shipment Management
· Coordinate export orders with sales, warehouse, production, and customers.
· Prepare and verify export documentation.
· Arrange bookings with freight forwarders, shipping lines, or courier companies.
· Follow up container loading, packing list, shipping marks, and dispatch schedule.
· Ensure export shipments comply with destination country requirements.
· Share shipment updates with customers and internal teams.
· Follow up proof of delivery and final shipment closure.
3. Documentation & Compliance
· Prepare, collect, and verify import/export documents, including:
· Commercial Invoice
· Packing List
· Bill of Lading / Air Waybill
· Certificate of Origin
· HS Code details
· MSDS, COO, SASO, MOFA, or any required certificates
· Customs declaration documents
· Ensure all documents are accurate and match purchase orders, sales orders, and shipment details.
· Maintain organized records for all import and export shipments.
· Ensure compliance with UAE customs, port, free zone, and international trade regulations.
4. Freight, Cost & Vendor Coordination
· Request freight quotations and compare rates from forwarders.
· Negotiate shipping costs, clearance charges, and delivery rates when needed.
· Review freight invoices, customs charges, port charges, and delivery costs before finance approval.
· Monitor additional costs such as demurrage, detention, storage, and delays.
· Maintain a database of approved logistics vendors and forwarders.
Required Qualifications
· Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field.
· Minimum 2–4 years of experience in import/export logistics.
· Experience in UAE customs clearance and port procedures is preferred.
· Good knowledge of shipping documentation and international trade procedures.
· Knowledge of Incoterms, HS codes, freight forwarding, and customs requirements.
· Experience with ERP systems or logistics tracking systems is an advantage.
· Good communication skills in English.
Arabic is an advantage.
