  • This role involves:
  • Providing full administrative support to the Legal Department.
  • Maintaining the legal filing systems.
  • Coordinating the flow of information internally and with other departments.
  • Preparing and keying in correspondences and legal documents.

Administration

  • Manage administrative tasks such as filing and submission of legal documents.
  • Prepare and key in correspondence and legal documents.
  • Assist in the preparation of regularly scheduled reports.
  • Maintain and update the legal tracker system.
  • Manage department administrative work, such as contract approval forms and receipt of documents.
  • Ensure all legal documents are maintained and archived as per internal policy.
  • Manage and maintain contract databases, ensuring all contracts are accurately recorded and deadlines are met.
  • Manage any other administrative tasks as requested by the manager.

Quality Assurance, Compliance & Effectiveness

  • Ensure compliance with legislation and company policy.
  • Maintain adequate control measures for risks.
  • Foster understanding and commitment of staff to policies, processes, and procedures.
  • Maintain current knowledge of relevant legal information, best practice, compliance, and regulatory changes.
  • Implement effective corrective and preventive actions to maintain effective processes.
  • Drive continual improvement of processes and procedures.

Health, Safety and Environment

  • Maintain a current working knowledge of operational associated hazards and controls.
  • Possess an up-to-date knowledge of Coca-Cola Arena policies, and any associated regulations, local laws, standards, codes of practice, or guidelines.
  • Ensure resources and processes are available and used to minimize HSE risks, and receive/respond to information about HSE incidents, hazards, and risks in a timely manner.
  • Maintain full awareness of the Dubai Fire & Emergency Evacuation Procedures.
  • Stay familiar with the location of emergency exits and fire-fighting equipment.
  • Participate in the management of any incident or emergency as directed by the nominated warden.
  • Report all incidents to your manager and HSE personnel.
  • Other duties as directed by the Legal Counsel
  • Ensure accurate and timely completion of tasks.
  • Demonstrate flexibility and willingness to undertake activities.
  • Carry out duties of other members of the department during their absence.

You should have:

Qualifications

  • Legal Assistant certification or diploma or a related field preferred.

Experience

  • Minimum 2-years’ experience in similar role.
  • Previous experience in the UAE, preferably in the event industry.
  • Excellent oral and written communication skills.
  • Fluent in English.
  • Arabic is a plus.
