Investment Banking Administrative Manager / EA

About This Role

This is a broad, high-responsibility role that goes beyond traditional EA support, combining executive assistance with operations, HR, and office management. The successful candidate will work closely with senior leadership and play a key role in the day-to-day running of the business.

Candidate Profile

We are ideally seeking someone with:

• 5–10+ years’ experience in a similar role within financial services or a professional services environment
• Experience in DFSA regulated firms strongly preferred
• Strong organisational and multitasking skills
• High level of discretion and professionalism
• Ability to work independently and take ownership
• Arabic speaking (advantageous)
• WFH on Friday and all of July & August
• Immediately available

Role Overview – Administrative Manager

Location: Dubai

Reporting to: Senior Management

Role Summary

A broad and hands-on role combining executive support with operational oversight, HR coordination, and office management. The position requires a highly organized and proactive individual who can manage multiple responsibilities across the business.

Key Responsibilities

Executive Support

• Diary and calendar management for senior leadership
• Travel coordination, itineraries, and expense management
• Supporting meetings, board logistics, and internal coordination

Operations & Office Management

• Day-to-day office management and facilities oversight
• Vendor sourcing and management (including real estate, maintenance, and services)
• Business continuity and general operational support

HR & People

• Recruitment support (including coordination with agencies)
• Onboarding and offboarding processes
• Visa processing and renewals
• Health insurance administration and renewals

Compliance & Governance

• Liaising with compliance, auditors, and external advisors
• Supporting regulatory requirements (DIFC/DFSA and CMA where applicable)
• Assisting with policy and procedure updates

Data Protection

• Supporting data protection processes and working with external Data Protection Officer
• Maintaining records and assisting with annual reviews
