A Leading company is looking for an Import Export/Documentation Executive
*Job Description*
Managed end to end import and export operations via Sea, Air, and Road, ensuring seamless execution of international shipments from documentation to final delivery.
Coordinated all logistics activities to ensure compliance with UAE regulations and timely shipment handling.
Negotiated with freight forwarders to optimize transit times and reduce transportation costs, resulting in improved operational efficiency.
Created purchase/sale orders and prepared complete documentation for customs clearance and shipment processing.
Obtained necessary permits from Dubai Municipality, SIRA, and MOHAP to facilitate hasslefree import/export clearance.
Handled customs clearance procedures through online portals and liaised with brokers/clearing agents to ensure compliance with regulations.
Worked closely with warehouse teams to oversee accurate loading and unloading of goods, minimizing delays and discrepancies.
Maintained strong client relationship.
*Role Summary*
The Import/Export Executive will be responsible for coordinating all inbound and outbound shipments (sea and road), ensuring smooth communication with shipping lines, clearing agents, and transporters. Although the candidate will not directly handle customs clearance, they must have basic understanding of UAE customs processes to professionally manage external agents and documentation timelines.
*Key Responsibilities*
1. *Shipment Coordination*
- Coordinate import and export shipments (sea freight and road freight).
- Liaise with shipping companies (e.g., Genesis) for booking, container release, and cargo movement.
- Track shipment schedules, ETD/ETA, and ensure timely updates to management.
*2. Coordination With Clearing & Shipping Agents*
- Manage communication with customs brokers and clearing agents.
- Ensure required documents are provided to agents for customs clearance.
- Follow up on inspection, container release, port charges, and DG documentation.
3. *Documentation Management*
- Prepare and manage shipping documents such as:
o Bill of Lading (BL)
o Commercial Invoice
o Packing List
o Certificate of Origin
o MSDS (Material Safety Data Sheet) for dangerous goods
- Ensure DG-related documents meet shipping line and regulatory requirements.
*4. Customs & Compliance Support*
- Basic understanding of UAE customs procedures (Jebel Ali / UAQ preferred).
- Ensure import/export compliance with UAE regulations for chemicals and dangerous goods.
- Coordinate with agents on duty payments, port fees, and customs clearance timelines.
*5* *Local Transport Coordination**
- Arrange local deliveries through transport vendors for UAE-wide movement.
- Coordinate loading/unloading, warehouse instructions, and ensure compliance with DG handling norms.
*6. Internal Coordination*
- Work closely with procurement, warehouse, accounts, and operations teams.
- Maintain shipment trackers, record updates, and provide timely reports to management.
