Company Overview
We are a growing business setup consultancy in Dubai seeking an experienced and dynamic Head of Operations to lead and oversee operational functions across multiple UAE jurisdictions.
The ideal candidate will possess strong leadership capabilities, in-depth operational knowledge of UAE business setup procedures, and the ability to manage teams, streamline processes, and ensure operational excellence.
Job Summary
The Head of Operations will be responsible for managing end-to-end operational activities related to company formation, licensing, visa processing, compliance, and client onboarding across Mainland, Free Zone, and Offshore jurisdictions.
This role requires a proactive professional with excellent coordination, problem-solving, and stakeholder management skills, capable of ensuring efficient operations and high client satisfaction.
Operational Leadership
- Oversee end-to-end operations for Mainland, Free Zone, and Offshore company formations
- Ensure timely processing of trade licenses, renewals, amendments, and cancellations
- Supervise visa processing including entry permits, medicals, Emirates ID, visa stamping, and cancellations
- Ensure compliance with UAE government regulations including DED, Free Zones, MOHRE, Immigration, and related authorities
- Liaise and maintain strong relationships with UAE government authorities, Free Zones, banks, and external stakeholders
- Manage client relationships professionally with a strong service-oriented approach
- Stay updated on the latest UAE regulations, compliance requirements, and operational procedures related to business setup and corporate services
Team Management
- Lead, mentor, and manage the Operations and PRO teams
- Assign tasks and monitor team productivity and performance
- Conduct regular team reviews, training sessions, and operational meetings
- Ensure accountability, discipline, and workflow efficiency within the department
Process & Compliance Management
- Develop and improve SOPs to enhance operational efficiency
- Identify operational bottlenecks and implement process improvements and technology-driven solutions
- Monitor license renewals, visa expirations, and compliance deadlines
- Ensure accurate documentation, record keeping, and internal operational controls
- Coordinate with government authorities and Free Zones when required
- Proactively resolve operational issues and coordinate internally to ensure smooth execution
Reporting & Strategic Coordination
- Prepare weekly and monthly operational reports for management
- Coordinate closely with Sales and Management teams to ensure smooth client onboarding and service delivery
- Identify areas for operational improvement and implement corrective actions
- Support business expansion initiatives and new Free Zone collaborations
Requirements
- Minimum 4 years UAE experience within business setup or corporate services
- Minimum 2 years experience in a leadership or supervisory role
- Strong knowledge of UAE Mainland, Free Zone, and Offshore licensing procedures
- Proven experience managing operations and PRO teams
- Excellent understanding of UAE visa and immigration processes
- Strong communication, problem-solving, and decision-making skills
- Fluent in English
- Highly organized, detail-oriented, and deadline-driven
- Ability to manage multiple operational functions simultaneously
