Fleet & Logistics Coordinator

Role Overview

Fleet and Ambulance Operations

• Coordinate daily allocation and deployment of ambulances, company vehicles, and transport resources; maintain vehicle, driver, and assignment records.
• Monitor vehicle availability, utilization, and readiness; coordinate preventive maintenance, servicing, repairs, breakdowns, and replacement vehicles.
• Track registration, insurance, inspection, permits, and document expiry dates; maintain vehicle maintenance and service records.
• Monitor fuel consumption, vehicle usage, and maintenance expenses.
• Coordinate ambulance availability, maintenance, documentation, approvals, and movement between company locations with operations teams.

Medical Supplies and Deliveries

• Coordinate collection, transportation, and delivery of medicines, medical supplies, consumables, and equipment to healthcare facilities.
• Liaise with pharmacies, clinics, warehouses, suppliers, and internal departments about delivery schedules.
• Maintain delivery notes, dispatch records, and proof of delivery; coordinate appropriate handling and transport, including temperature-sensitive items where applicable.
• Coordinate stock availability, dispatch, and replenishment with authorized personnel.

Drivers and Transportation

• Prepare driver schedules and vehicle deployment plans; monitor attendance, availability, and assigned routes.
• Ensure drivers know delivery schedules, destinations, and access requirements; coordinate urgent transportation needs and resolve delays.
• Maintain driver records, driving licence details, and document expiry dates.

Documentation and Coordination

• Follow up with suppliers and transport providers on deliveries and collections; verify delivery documents with receiving departments.
• Maintain accurate vehicle, ambulance, driver, maintenance, fuel, delivery, and transportation records.
• Prepare daily and weekly fleet and logistics reports using Excel and other office tools.
• Coordinate with Ambulance Operations, Procurement, Stores, Pharmacy, Clinic Administration, Accounts, and Management.
• Resolve fleet and logistics issues, maintain valid vehicle documents, and follow applicable company procedures and UAE traffic, vehicle, healthcare, and medical-product transportation requirements.
• Perform other fleet, logistics, and operational duties assigned by management.

Candidate Requirements

• 2–4 years of relevant experience in fleet management, logistics, or transportation coordination.
• Valid UAE driving licence is mandatory; candidates without one will not be considered.
• Experience in ambulance services, healthcare logistics, medical supplies, or pharmacy distribution is preferred.
• Knowledge of vehicle maintenance, fleet documentation, and driver coordination.
• Medical equipment, medicine, consumables, and delivery coordination experience is preferred.
• Good knowledge of Microsoft Office, especially Excel.
• Strong organizational, communication, and problem-solving skills; ability to coordinate multiple vehicles, drivers, and delivery schedules.
• Knowledge of UAE vehicle documentation and transportation procedures.
• Ability to work in person in Abu Dhabi.
