Join A Growing International Construction Group

As our operations continue to expand across the UAE and the wider region, we are looking for a proactive and detail-oriented **Finance Assistant** to support the day-to-day financial and administrative operations of our Dubai office.

The Role

Reporting to the UK Finance Team and working closely with the local management team, the Finance Assistant will play a key role in ensuring the smooth running of the financial administration of the UAE branch.

The successful candidate will be responsible for invoice processing, supplier payments, payroll preparation, reporting, and supporting the importation and logistics process for materials and equipment entering the UAE.

Key Responsibilitiesfinance & Accounting

  • Process supplier invoices and branch expenses using QuickBooks.
  • Monitor and maintain accurate records of invoices, payments, and local accounts.
  • Prepare supplier payment schedules and coordinate payments.
  • Create and issue client invoices accurately and on time.
  • Track project-related costs and support cost reporting activities.
  • Maintain organised and accurate financial records and supporting documentation.
  • Assist with month-end finance activities and reconciliations.

Payroll Administration

  • Prepare monthly payroll information for submission to the UK Finance Team.
  • Ensure payroll data is accurate, complete, and submitted within required deadlines.
  • Liaise with employees regarding payroll-related queries when required.

Reporting

  • Prepare weekly and monthly financial reports for the UK Finance Team.
  • Centralise all supplier invoices and maintain a comprehensive invoice tracker.
  • Prepare and submit invoice summaries and supporting documentation to the UK Finance Team.

Corporate Card & Expense Management

  • Monitor and control company credit card transactions.
  • Ensure receipts and supporting documentation are collected and maintained for all corporate card expenditure.
  • Support expense reconciliation and reporting processes.

Logistics & Administration Support

  • Liaise with freight forwarders and transport providers regarding the importation of goods into the UAE.
  • Track shipments and support customs and importation administration.
  • Assist with supplier, subcontractor, and administrative documentation as required.

Candidate Profile

  • Previous experience in a Finance Assistant, Accounts Assistant, Bookkeeper, or similar finance administration role.
  • Experience using QuickBooks is highly desirable.
  • Good understanding of accounts payable, accounts receivable, invoicing, and payroll administration.
  • Strong attention to detail and excellent organisational skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Comfortable working independently while collaborating with international teams.
  • Proficient in Microsoft Excel and Microsoft Office applications.
  • Strong communication skills in English, both written and verbal.

Preferred Experience

  • Experience within construction, engineering, fit-out, manufacturing, or project-based businesses.
  • Experience working with international finance teams.
  • Familiarity with UAE business practices and supplier management.
