High-level Job Purpose Statement

The Facilities Management Specialist is responsible for leading and coordinating day-to-day Facilities Management operations across NMC (KIA)

location

s in Western region, ensuring service continuity, asset reliability, vendor performance, and compliance with corporate governance standards.

The role carries full operational ownership of divisional FM activities, acting as the focal point for all Facilities Management matters.

The role acts as the on-ground execution lead for Facilities Management, translating Corporate FM strategy, governance, and standards into operational delivery at site level.

1. Facilities Operations Leadership

  • Lead and manage daily FM operations across all assigned NMC facilities in Western region
  • Ensure uninterrupted operation of: Showrooms, Workshops and service centers, Delivery centers and Administrative offices

2. Maintenance Coordination & Asset Reliability

  • Raise, track, and manage preventive and corrective maintenance activities through the CAFM/CMMS system, ensuring accurate data capture, timely closure, and visibility of asset performance.
  • Validate quality and completion of works before closure
  • Identify recurring failures and escalate asset risks to Corporate FM
  • Maintain visibility on high-risk assets impacting operations

3. Vendor & Service Provider Management

  • Supervise all FM-related vendors and service providers on-site, including: Cleaning contractors, Pest-Control services, Landscaping Services, Mail Services, Security services, Maintenance vendors and Hospitality/support staff.
  • Ensure vendors adhere to: Contractual scope, SLA/KPI requirements, Safety and operational standards. Actively manage vendor behavior, not just coordination

4. SLA Monitoring & Performance Management

  • Monitor vendor performance against defined SLAs and KPIs
  • Conduct monthly performance evaluations and apply service deductions and escalate underperformance

5. Financial Governance & Invoice Control

  • Review and validate all FM-related invoices, including: Maintenance services, Utilities, Rent and service charges. Ensure SLA compliance before invoice processing
  • Raise payment requests through KissFlow / ERP systems 6. Budget Awareness & Cost Control
  • Support preparation and execution of divisional FM budgets (OPEX & CAPEX)
  • Monitor monthly expenditures and highlight deviations
  • Identify inefficiencies and cost-saving opportunities

7. Facility Condition & Risk Awareness

  • Maintain continuous awareness of: Facility condition, Operational risks and Service quality gaps.
  • Support asset data collection and updates when required 8. Compliance, Safety & Regulatory Support
  • Support implementation of HSSE requirements across all facilities.
  • Ensure compliance with: Civil Defense, Municipality regulations and Internal safety standards.
  • Coordinate inspections, audits, and corrective actions with HSSE function.

9. Documentation & Reporting

  • Maintain structured and complete records for: Maintenance logs, Vendor documentation, Financial approvals and Operational reports
  • Ensure documentation readiness for audit and governance review

Qualification

  • Bachelor’s degree in Engineering, Facilities, or related field

Experience

  • Minimum 4–6 years of experience in Facilities Management in multi-site operational environments.
  • Experience in asset-intensive facilities such as workshops, service centers or commercial operations.
  • Practical experience in managing both Hard and Soft FM services within operational environments.
  • Experience managing vendor-based services under defined SLA/KPI frameworks.
  • Exposure to FM financial processes, including invoice validation and cost tracking.
  • Hands-on familiarity with CAFM for work order management, (PPM) tracking, and asset record.
  • Working knowledge of ERP/workflow systems (e.g., KissFlow , SAP or similar).
  • Automotive / dealership (3S)

  • Uses systems to manage work orders, track preventive maintenance, and ensure timely resolution.
  • Demonstrates strong control over invoices, cost validation, and budget awareness.
  • Balances operational demands across multiple facilities with effective time/workload management.
  • Adheres to defined processes and escalation protocols in line with Corporate FM framework.
  • Comfortable working with ERP, CAFM, and workflow systems (KissFlow or equivalent).
  • Communicates clearly with stakeholders, vendors, and management, ensuring timely escalation.
  • Maintains accurate, structured, and audit-ready records across all FM activities
