Facilities Management (FM) Coordinator

Role overview

Facilities operations

• Oversee MEP, HVAC, electrical, plumbing, civil works, building fabric, BMS, fire systems, CCTV, access control, laundry equipment and utilities.
• Plan and implement 52-week preventive, corrective and reactive maintenance schedules.
• Ensure asset availability and quality, OEM recommendations, statutory requirements and timely task completion.
• Log and monitor service events through Helpdesk and CAFM systems, including response, rectification and remedial times.
• Conduct inspections, maintain maintenance and asset records, and support audits, inspections and compliance reviews.

Team, contractors and service delivery

• Lead and supervise maintenance technicians and contractors; allocate tasks, monitor performance, provide technical guidance, training and feedback.
• Coordinate specialist service providers and follow up with OEM and third-party agencies during defect liability periods.
• Review contractor performance and work completion against SLAs and KPIs; prepare technical specifications for vendor requests for quotation.
• Manage minimum spares and consumables and coordinate with security, ICT, parking and other university teams.
• Act as primary decision-maker in the Hard FM Engineer’s absence and provide clear updates and escalations.

Safety, assets and improvement

• Enforce health and safety requirements, safe work practices and occupant safety; conduct risk assessments and mitigation.
• Lead emergency responses to technical failures, breakdowns and safety incidents and participate in emergency drills.
• Support performance analysis, reporting, asset register maintenance, lifecycle planning, condition assessments and utilities optimization.
• Recommend improvements and cost-effective upgrades and support programmed replacements and continuous operation of utilities and critical infrastructure.

Required qualifications and experience

• Diploma or degree in Mechanical, Electrical or Facilities Engineering.
• 12–15 years of hard services maintenance experience, including supervisory experience.
• Strong technical knowledge of MEP systems, building maintenance and facilities management operations.
• Strong team-management, troubleshooting and technical problem-solving skills.
• Proficiency in CAFM, BMS and Helpdesk systems, with good communication, coordination and reporting abilities.
• Commitment to safety, compliance and service excellence.

Preferred experience

• Experience in student accommodation, school or university environments is preferred; residential, hospitality, commercial or other Hard FM experience is also identified.

Work setting

• The role covers maintenance and facilities operations across a university student residential campus.
