Role Overview
We are seeking a highly proactive and detail-oriented
Executive Assistant based in Dubai, UAE
, to provide comprehensive administrative and personal support to C-level executives.
The ideal candidate will play a critical role in ensuring the smooth day-to-day operations of the executive office by managing schedules, coordinating meetings, handling communications, and supporting both business and personal matters with the highest level of professionalism and confidentiality.
This role requires exceptional organizational skills, the ability to multitask in a fast-paced environment, and flexibility to adapt to dynamic priorities.
The position is currently hybrid, with a transition to a fully onsite role in Dubai.
Calendar & Meeting Management
- Manage complex executive calendars, including scheduling meetings, appointments, and travel.
- Coordinate internal and external meetings, conferences, and events, ensuring all logistics are handled efficiently.
Communication & Correspondence
- Act as a key point of contact between executives, internal teams, and external stakeholders.
- Draft, review, and manage professional communications, including emails, reports, and presentations.
Travel Coordination
- Arrange comprehensive travel itineraries, including flights, accommodations, visas, and ground transportation.
- Manage last-minute changes and resolve travel-related issues efficiently.
Document & Meeting Management
- Prepare and organize documents, reports, and presentations for executive meetings.
- Record meeting minutes, track action items, and follow up to ensure timely completion.
Confidentiality & Discretion
- Handle sensitive information with the highest level of confidentiality and professionalism.
- Maintain secure records and documentation at all times.
Personal Coordination
- Provide support with personal matters such as travel arrangements, appointments, and ad-hoc requests.
- Manage personal schedules to ensure seamless coordination with professional commitments.
Project & Business Support
- Assist with special projects, reports, and strategic initiatives.
- Collaborate with internal departments to gather insights and support executive decision-making.
Required Qualifications
- Minimum
- 5 years of experience
- supporting C-level executives or in a similar senior administrative role.
- Based in
Dubai, UAE

- Fluency in
- English (spoken and written)
- is mandatory.
- Strong interpersonal and stakeholder management skills.
- Advanced proficiency in
Microsoft Office
- and presentation tools.
- Proven ability to manage complex calendars, travel logistics, and high-level coordination.
- High attention to detail with strong organizational and multitasking abilities.
- Flexible and adaptable to support both professional and personal executive needs.
- Willingness to work
