Job Summary
We are seeking a highly organized, proactive, and trustworthy **Personal Assistant to the Managing Director (MD)** to provide comprehensive administrative and personal support.
The successful candidate will manage the MD’s daily schedule, communications, and coordination with internal and external stakeholders, ensuring smooth and efficient business operations.
This role requires excellent communication skills, discretion, and the ability to handle multiple tasks in a fast-paced corporate environment.
Key Responsibilities
- Manage the MD’s calendar, appointments, meetings, and travel arrangements.
- Act as the first point of contact between the MD and internal/external.
- Screen calls, emails, and correspondence and respond or redirect as appropriate.
- Prepare meeting agendas, presentations, reports, and official correspondence.
- Organize and coordinate meetings, conferences, and business events.
- Maintain confidential files, documents, and records with high discretion.
- Follow up on action items and deadlines on behalf of the MD.
- Coordinate with department heads to ensure timely submission of reports and updates.
- Handle office administration tasks as assigned by the MD.
- Support the MD with personal tasks when required (travel, accommodation, appointments).
- Draft and review letters, memos, and official company communications.
- Ensure smooth communication flow between the MD and staff.
- Maintain proper filing system (digital and physical).
Requirements
- Bachelor’s Degree or Diploma in Business Administration or a related field.
- Proven experience as a Personal Assistant or Executive Secretary to senior management.
- Excellent organizational and time management skills with strong attention to detail.
- Strong verbal and written communication skills (English required; Arabic is an advantage).
- High level of professionalism, confidentiality, and integrity.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and work under pressure with minimal supervision.
- Strong coordination and interpersonal skills.
- Pay: From AED4,500.00 per month
